Role Purpose
To support the project team by managing all document control and information management processes for the Newport Data Centre project. You will ensure all project documentation (drawings, contracts, submittals, revisions, etc.) is correctly reviewed, stored, distributed, and archived in line with company and client standards.
Key Responsibilities
* Receive, review, log, distribute, and track all project documents (e.g., drawings, submittals, revision updates).
* Maintain and manage the project document register, ensuring version control.
* Ensure that all documents comply with company / client templates and naming conventions.
* Support design team / contractors / project managers with retrieving correct document revisions.
* Coordinate responses to document status requests, RFIs, and technical queries.
* Ensure timely distribution of updated drawings and documents to relevant stakeholders.
* Manage digital document systems (e.g., document management software), ensuring all project documentation is organized and accessible.
* Prepare, package, and archive completed documentation (handover packs) at project milestones.
* Liaise with quality, safety, and technical teams to ensure documents meet compliance and audit requirements.
* Maintain confidentiality and control over sensitive / commercial documents.
Requirements
* Proven experience in a Document Controller or Document / Information Management role within construction / civil engineering.
* Familiar with digital document control systems and MS Office (especially Word, Excel, Outlook).
* Strong organizational, attention to detail, ability to manage multiple tasks and prioritise.
* Clear understanding of version control, drawing revisions, and document revision workflows.
* Good communication skills, both verbal and written.
* Ability to work under pressure and meet project deadlines.
Desirable:
* Experience working on data centre, infrastructure, or large civils projects.
* Familiarity with contract documents, technical submittals, and architect / engineer / contractor documentation flows.
* Knowledge of relevant software (e.g. Aconex, Procore, or similar).
* Awareness of company values: safety, quality, sustainability
