As our Privacy & Information Governance Analyst, you’ll play a pivotal role in shaping privacy culture and governance across the organisation. Reporting into the Head of Privacy Governance, Culture & Programme and working within the Privacy Governance and Culture team, you’ll support a varied portfolio of work across governance, culture, and programme initiatives. This is a role where your insights will drive strategic decisions, reduce risk, and embed privacy into Royal Mail’s DNA You’ll lead the development and delivery of performance metrics and dashboards that demonstrate the effectiveness of data protection and information governance. Acting as a subject matter expert for reporting on the OneTrust Privacy Automation Tool, you’ll lead the production of our governance dashboard and maintain our Privacy & Information Governance Management System. Your analysis will inform decision-making and support key initiatives such as the Think Secure programme. This role plays a critical part in demonstrating Royal Mail Group’s compliance with UK data protection laws, while raising awareness of data protection and information governance across the organisation. From managing internal queries and compliance documentation to supporting privacy-related projects, you’ll help us meet regulatory obligations and uphold our reputation for trust and integrity. About the role As a Privacy Analyst, you’ll: • Lead data-driven insights: Design and maintain dashboards, analyse trends, and report KPIs to senior stakeholders. • Own governance processes: Keep policies, procedures, and documentation up-to-date and aligned with UK GDPR and best practice and support regular governance cadence. • Respond to queries: Respond to internal and customer assurance queries with timely, accurate and consistent advice. • Drive cultural change: Support awareness campaigns and training initiatives to embed privacy into Royal Mail’s DNA. • Information Governance: Maintain the Corporate Retention Schedule, Information Governance standards and related record management processes • Optimise tools and workflows: Administer and enhance OneTrust modules for better efficiency and compliance. • Collaborate across the business: Partner with Legal, CoSec, and Business Units to deliver integrated governance solutions. About You • Strong understanding of UK GDPR, Data Protection Act 2018, and relevant information governance frameworks, including retention schedules and records management. • Knowledge of privacy metrics, KPIs, and reporting requirements for senior stakeholders, including DPO and Audit & Risk Committees. • Familiarity with privacy management platforms (e.g. OneTrust), including module administration, access controls, and workflow configuration. • Understanding of privacy education strategies and cultural change initiatives, including how to support awareness campaigns and training rollouts. • Knowledge of governance cadence, secretariat responsibilities, and the role of forums in driving accountability and oversight. • Ability to analyse complex datasets, identify trends and risks, and present insights through dashboards and reports tailored to different audiences. • Skilled in drafting and maintaining clear, accessible policies, procedures, and guidance materials aligned with regulatory standards. • Strong written and verbal communication skills to respond to internal and external queries with clarity, consistency, and professionalism. • Ability to identify inefficiencies and implement improvements in privacy workflows and tool usage, particularly within OneTrust. • Skilled in working across functions (Legal, CoSec, Business Units) to support integrated programme delivery and cross-functional initiatives. • Capable of coordinating inputs, managing actions, and producing accurate minutes and reports to support governance forums.
