About the Role
We are seeking a detail-oriented and proactive Contract Administrator to join our Scheduling Team in Bellshill. In this fast-paced role, you'll ensure all planned preventative maintenance (PPM) and reactive works are scheduled efficiently, tracked accurately, and completed within contractual KPIs.
You will liaise with Contract Managers, Supervisors, Engineers, and Sub-contractors while maintaining our CAFM systems to a high standard. This role suits someone who thrives on structure but can reprioritize tasks and make analytical decisions under pressure.
Key Responsibilities
1. Schedule PPM works in line with contractual KPIs using approved tools and systems.
2. Collaborate with Contract Managers and Schedulers to align subcontractor tasks with planned timelines.
3. Use CAFM systems (e.g., SAP, Coupa, Planon) to log, assign, and track job status through to completion.
4. Issue and track purchase orders, ensuring timely invoice receipt and status updates.
5. Act as the first point of contact for engineers and subcontractors regarding scheduling queries.
6. Conduct regular analysis of maintenance performance to identify trends and recommend improvements.
7. Ensure all compliance-related documentation is up-to-date and properly filed.
8. Support with general administrative duties and ad hoc tasks as needed.
Qualifications & Experience
1. Experience with CAFM systems (e.g., SAP, Coupa, Planon) preferred.
2. Strong IT skills, especially Excel and Outlook.
3. Excellent communication and teamwork skills.
4. Ability to multitask, prioritize, and remain calm under pressure.
5. Knowledge of health and safety practices.
6. Experience in purchasing and supplier management.
7. Technical knowledge of the M&E industry is a plus but not essential.
8. Customer-focused attitude with a drive to exceed expectations.
9. Decision-making and analytical skills.
10. High attention to detail and effective time management.
11. Strong interpersonal skills for building relationships.
