Job Title: Business Support Executive – Marketing & Service Optimisation Location: London / 4 Days in the office / 1 day hybrid Full time / 37.5 hours per week/ Permanent Monday to Friday Salary: Up to £50,000 plus a range of exceptional benefits. We’re looking for a Business Support Executive, to join our Digital Marketing, Customer Experience and Service optimisation team based in London. As a Business Support Executive, you’ll provide business support to the Digital & Customer Experience team. Whilst providing executive assistant support, to include diary management, for the VP of Marketing, Digital & Customer Experience, and the VP Network Optimisation. What you’ll do: To provide day to day executive support and diary management to VP Marketing, Digital & Customer Experience, and VP Network Optimisation and day to day admin support to wider Marketing department TO Coordinate and prepare for an extensive range of meetings. This will include preparing agendas, pre meeting briefings and meeting papers, ensure distribution of all relevant meeting papers in a timely manner and attendance to take minutes/action items, where appropriate. Use initiative to put forward proposals for improved ways of working and efficiencies across the department including coordinating initiatives on the back of ‘Vital Voices’(employee engagement survey) results/feedback Provide support to staff members at internal and external meetings, events and internal training sessions. To be a point of escalation on behalf of Marketing when necessary and support with technical issues, IT order requests, internal and external data reports. Manage department finance including invoice tracking, submission of accruals, expenses, monthly forecasts and budgets. Create monthly summary cost reports. Act as a central contact point for stakeholders across the business and manage queries from other departments. redirecting/ taking messages and using initiative to deal with queries. Manage relationships and act as a trusted and professional liaison. Event management – support with the coordination and management of meetings, events and team strategy days including booking meeting rooms, organising catering and liaising with guests etc Oversee department holiday planning, inductions for new recruits, managing and monitoring team performance on mandatory training, overseeing and reporting DPA breach reporting/resolution Take meeting notes at various meetings and committees as appropriate, provide summary papers, meeting notes and coordinate with colleagues to progress actions from meetings Vendor and contract management - on-boarding vendors and working with Legal department where appropriate. What you’ll bring: Demonstrative experience of working at pace and to conflicting deadlines. Able to organise self, team and executive professionals seamlessly. Extensive career experience working as an Executive Assistant within a large corporate organisation (Preferably Healthcare) Exception attention to detail and administrative capabilities to include diary management and minute taking. Professional communication both written and verbal, used to working with a wide range of stakeholders. The ability to influence, guide with a professional customer focused approach. Able to analyse and interpret data and produce effective reporting. With strong proficiency in MS Excel, able to calculate formula and manipulate data. Strong problem-solving abilities Highly proficient user of IT – MS office suite. Why HCA UK?
