Lead Medical Secretary

The closing date is 25 May 2026.

We are looking for a well‑organised, enthusiastic and motivated individual to join our Children's Services team as Lead Medical Secretary for the Paediatric Service. This post will include a wide range of duties including medical secretary duties, sickness and performance managing and overall leadership of the medical secretarial team. We are looking for a strong candidate who will not only manage the team but also support all services across paediatrics and provide cross‑cover and support to all teams and those who work within them.


Main duties of the job

To be responsible for the line management and supervision of a team of medical secretarial staff and to ensure a cost‑effective and efficient secretarial and administrative service. To provide full secretarial support to the consultants within Paediatrics. To act as a role model for other members of the team.

Please note:- Internal applicants on permanent contracts can apply for this post as a secondment or fixed‑term contract. For secondments you must have the approval of your line manager before applying. Person Specification


Additional Requirements

Qualifications

* Educated to degree level or NVQ level 4 or equivalent
* Customer Service/ Business Admin /ITQ or equivalent professional experience
* RSA III or equivalent qualification or experience/skills
* Secretary qualification or equivalent
* Specific technical/professional qualification (if applicable)


Experience

* Experience of managing staff/a busy clerical/office environment or reception service or project
* Secretarial and /or complex administrative experience
* Prioritising, planning and organising own and others tasks
* Experience of dealing with difficult situations and confrontations
* Data entry experience and documentation
* Previous experience of working in NHS
* Previous experience of working with medical records
* Recruitment and Selection of staff
* Performance management of staff


Knowledge

* Confidentiality and data protection processes and procedures
* Good working knowledge of office procedures and all Microsoft office packages
* Knowledge of HR processes including recruitment and performance management
* Awareness of NHS targets and Trust priorities
* Awareness of anti‑discriminatory issues
* Knowledge of the Trust including awareness of priorities
* Knowledge of Trust information systems
* Knowledge of Medical Terminology


Skills

* Ability to manage/work as part of a team
