Specialising in lifting operations and contract lifting services across the UK, they work with a wide network of subcontractors and site teams to deliver safe, efficient solutions to the construction and infrastructure sectors. Timesheet Administrator Job Overview
Weekly Timesheet Administration
Gather weekly timesheets from subcontractors and site supervisors (both manual and digital formats).
Check and verify hours worked, day rates, and any changes or additional labour requests.
Create weekly payroll summary reports in Excel, organised by project and site.
Submit payroll summaries for internal and client approval ahead of deadlines.
Send approved summaries and timesheets to the external payroll provider.
Keep accurate records of approvals, timesheets, and payment documentation for audit purposes.Subcontractor Liaison
Handle subcontractor queries related to timesheets, payments, or payroll discrepancies.
Clearly communicate expected payment dates and approval statuses.
Record and escalate recurring timesheet or payment issues for management review.
Keep subcontractor contact details up to date and accurate.Client Coordination
Distribute weekly CIS payroll summaries to clients for review and approval.
Address client queries on hours, labour categories, or rate discrepancies.
Monitor approval timelines and escalate delays to avoid payment disruptions.

Maintain organised digital records of all timesheets, approvals, and communications.

Timesheet Administrator Job Requirements
Essential:
Experience in administrative roles, ideally with exposure to construction or labour-based payroll.
Strong Microsoft Excel operating knowledge and associated experience and data entry skills (Intermediate as a minimum).
Confident communicator able to deal with subcontractors and clients professionally.
Excellent organisational skills and ability to meet weekly deadlines.Desirable:
Experience working with CIS subcontractors or supporting outsourced payroll processes.
Familiarity with labour reporting formats and timesheet collection from multiple sites.
Basic knowledge of payroll terms and CIS structure (for communication purposes only).
Timesheet Administrator Salary & Benefits
£28,000-£30,000 dependant on experience
Monday-Friday (0800hrs-1600hrs) - Start time can be flexible and agreed prior to employment.
