Overview

Magistrates Court Admin staff are responsible for the management of the criminal digital files in preparation for hearings. Other duties can include booking interpreters, hosting video links, typing orders and answering queries whether over the phone, by post or email from the judiciary, professionals or the public. You will be assigned to teams to carry out a variety of general administrative duties to progress cases through the court/tribunal system or provide support to other functions within HMCTS.


Responsibilities

Responsibilities include:

* Manage criminal digital files in preparation for hearings
* Book interpreters, host video links, and type orders
* Answer queries by phone, post or email from the judiciary, professionals or the public
* Carry out general administrative duties within assigned teams to progress cases through the court/tribunal system
* Provide support to other functions within HMCTS

These operational roles are customer facing, requiring successful applicants to be office based to provide HMCTS services to the public.


Person Specification / Qualifications

With a friendly and approachable manner, youll have excellent attention to detail and good written and verbal communication skills. You have a desire to deliver proactive and effective support to customers by phone and email. Youll be skilled in organising your time, prioritising efficiently, able to multi-task and adapt to using various software packages. Youll enjoy working in a busy environment and helping court users navigate the justice system.


Working Patterns

This is a part-time position, working 22.12 hours per week across Wednesday, Thursday, and Friday. Standard full-time hours are 37 per week. HMCTS welcomes part-time, flexible and job-sharing patterns where they meet the demands of the role and business needs. All applications for part-time, flexible and job-sharing patterns will be considered in accordance with the MoJ Flexible Working policy.


Terms and Conditions

Fixed Term Appointments (MoJ Staff): employees must seek approval from their line managers to ensure they can be released for the duration of the FTA and can return to their substantive role at the end. If there is no role available at the end of the FTA, redeployment and potentially redundancy procedures may apply.

Loans: terms of the loan will be agreed between the home and host department and the Civil Servant. Prior agreement to be released on a loan basis should be obtained before commencing the application process.

Skilled Worker Visa: From 22 July 2025, the Government increased the salary threshold and skills level for Skilled Worker visas. This role does not meet the eligibility criteria for sponsorship if you are applying for a Skilled Worker Visa for the first time. The Department cannot sponsor unless you have held a Skilled Worker visa continuously since before 22 July 2025. If you have held a Skilled Worker visa continuously, please raise this during vetting checks and eligibility will be assessed.

Successful applicants must have and maintain the legal right to live and work in the Civil Service and in the United Kingdom. The Department will comply with UK Immigration Rules. You can read more about Skilled Worker visas and eligibility criteria here.


Additional Information

Working Arrangements & Further Information: The MoJ offers Hybrid Working where business needs allow. This role can be based in the UK (not overseas). A minimum of 60% of working time is in an office, subject to local capacity. Some roles may not be suitable for Hybrid Working and arrangements are discussed with the successful candidate(s).

For nationally advertised roles: appointment to the nearest viable office to your home postcode (HQ building, Justice Collaboration Centre, or Justice Satellite Office) and aligned to the respective pay scale. For current MoJ employees, base location may be changed accordingly. Some MoJ terms and conditions are changing as part of Civil Service reform.

Flexible working hours: MoJ offers flexible working in many offices. Standard full-time hours are 37 per week. All applications for part-time/flexible/job-sharing will be considered in accordance with the MoJ Flexible Working policy.
