Oxford University Hospitals NHS FT are looking for a OHTC Data Co‑Ordinator & Administrator to join their team. The successful post holder will be responsible for the provision of administrative duties, comprehensive collation and monitoring of data within the Haemophilia and Thrombosis Service in the Oxford University Hospital Foundation Trust region in relation to the following clinical areas: The Haemophilia and Thrombosis Service provides a regional service for the treatment of adult and paediatric patients (in‑patient and out‑patient clinical care) within Oxfordshire and surrounding areas, and collates information for all patients within our region. It provides patient‑centred care for all patients with bleeding/clotting disorders. The Oxfordshire anticoagulation and DVT service operates across two sites; the Haemophilia and Thrombosis Centre at the Nuffield Orthopaedic site, and the pathology department at the Horton site. The service is responsible for the management of patients in Oxfordshire taking anticoagulation medication and comprises education clinics, point of care clinics, and remote telephone and software‑assisted dose titration. With a caseload of often long‑term patients the thrombosis team get to know the patients well and enjoy interacting with them on the phone and in person on an outpatient basis.
Data Assistant Main Tasks
* Maintaining several information systems in line with national requirements/Key Performance Indicators (KPIs) for registration of patient‑related data.
* Ensuring they have an understanding and knowledge of relevant medical conditions and terminology to allow successful extraction/transcription of information from hospital records in a timely and efficient manner.
* Liaising with the nursing team, Blood Bank and external suppliers to ensure data entry of products issued to patients by the home delivery supplier.
* Completing stock counts at OHTC when the B4 Nursing Assistant is on leave to assist with stock tracking and financial reporting.
* Ensuring that accurate data on the home delivery of adult clotting factors is entered for overall reporting to finance.
* Submitting regular reports to National Services Division via the NHD.
DVT & Thrombosis Main Responsibilities
* To administer the Oxfordshire Anticoagulation service at the Nuffield Orthopaedic Centre.
* To communicate dosing information and changes for patients on vitamin K antagonist medication to patients and the multi‑disciplinary team (MDT).
* To staff the incoming telephone helpline associated with the Oxfordshire anticoagulation service and provide advice and assistance to anticoagulation patients, deal with queries and triage calls, forwarding them to the most appropriate member of staff.
This post demands a high degree of knowledge and accuracy in administrative procedures as well as excellent knowledge of Microsoft Office products such as Access and Excel.
Qualifications
* Good general level of education (5 GCSEs including English or equivalent), or equivalent working experience.
* IT Literacy.
* Confident speaking to professionals and others on the telephone.
* Ability to work as part of a team.
* Ability to prioritise.
Desirable Criteria
* Experience of data entry.
* Previous experience within the NHS/public sector. Digital transcription experience. Knowledge of medical terminology.
* Use of healthcare systems, such as EPR, LIMS etc.
* Understanding and knowledge of the Trust’s values.
