We are looking for a highly organised, proactive, and compassionate Care Coordinator / Office Administrator to join our team in Manchester. As a key member of our team, you will ensure the smooth running of office operations while coordinating care delivery that is responsive, person-centred, and compliant with regulatory standards. About the Role Reporting to the Manager, you will oversee essential administrative tasks, manage day-to-day care coordination, and act as a professional and welcoming first point of contact. Your work will directly support the quality and reliability of the care we provide to our service users. Key Responsibilities Care Coordination Create, update, and manage care rotas to ensure all visits are covered safely and efficiently. Respond promptly to changes in client needs, staff availability, and emergency cover requirements. Monitor alerts and visit updates via Birdie (or similar care management system), ensuring timely communication with clients, families, and care staff. Liaise with care assistants daily, supporting them with schedules, queries, and welfare checks. Assist with new client onboarding, assessments, and care plan updates where required. Office Administration Answer incoming calls and greet visitors professionally, maintaining confidentiality at all times. Draft clear written communication, including emails, letters, and reports. Take accurate meeting minutes and circulate them promptly. Maintain compliant and up-to-date client and staff files, chasing missing documentation when necessary. Support recruitment by issuing application packs, coordinating vetting and DBS checks, scheduling training, and ensuring all induction materials are completed. Update internal systems, compliance dashboards, and records accurately. Maintain employee information, including personal details, contracts, and pay changes to support payroll accuracy. Coordinate probation reviews and other HR-related admin processes. Uphold data protection and confidentiality as required by the Data Protection Act. About You You will be confident, organised, and able to balance multiple responsibilities with a positive and flexible attitude. You thrive on problem-solving, enjoy working with people, and take pride in delivering safe and high-quality care. You must hold a full UK driving licence and have access to your own vehicle. Essential Skills and Experience At least 1 year of experience in domiciliary care (care coordination). Strong administrative skills and experience working in an office environment. Confident using digital systems and proficient in Microsoft Office. Excellent communication skills, both written and verbal. Strong organisational skills and the ability to prioritise effectively.
