Organisational Overview
The Office of the Public Guardian (OPG) protects people in England and Wales who may not have the mental capacity to make certain decisions for themselves, such as about their health and finance. We are an Executive Agency of the Ministry of Justice (MoJ), set up in 2007 following the introduction of the Mental Capacity Act of 2005. OPG is responsible for registering lasting powers of attorney (LPA) and enduring powers of attorney (EPA) and supervising deputies who are appointed by the Court of Protection. Team Overview
You will be working for the Workforce Resourcing Services (WRS) team. WRS manages all recruitment and resourcing activities for the organisation, planning and advertising OPG’s vacancies, supporting vacancy holders and panel members, organising vetting and onboarding, ensuring compliance with recruitment principles and policy.
Duties and Responsibilities
The WRS Administrative Officer will provide vital support to the Workforce Resourcing Services team, ensuring the smooth delivery of recruitment activity across the organisation. Key responsibilities include:
Administrative Support to Recruitment Campaigns
* Manage shared email inboxes, ensuring timely, accurate responses and appropriate triage of queries.
* Upload sift and interview scores into recruitment systems promptly.
* Prepare and organise campaign document packs for sifts and interviews, ensuring documentation is complete, compliant, and ready for panels.
* Support scheduling interviews, issuing candidate communications, and coordinating logistical arrangements.
* Maintain up‑to‑date and accurate campaign records across all platforms and systems.
Onboarding Candidates
* Monitor completion of required pre‑employment checks, proactively identifying and chasing outstanding actions.
* Act as key coordination point between vacancy holders and candidates to agree suitable start dates and resolve onboarding queries.
* Inform stakeholders of progress and any delays or risks.
* Order all required equipment and access for new starters in line with role requirements.
* Maintain accurate onboarding records and ensure all activity complies with policy and process.
Candidate Support & Customer Service
* Correspond with candidates promptly and professionally, providing clear information around timelines, requirements and next steps.
* Arrange and conduct ID checks in line with policy, including face‑to‑face checks where required.
* Provide high‑quality customer service to internal and external stakeholders, upholding professionalism and confidentiality at all times.
Team Collaboration & Process Support
* Work closely with WRS Campaign Managers to support campaign delivery and maintain high service standards.
* Contribute to maintaining consistent administrative processes and assist with improving efficiency and standardisation across the team.
* Assist with monitoring shared trackers, systems and work queues to ensure the team meets key priorities and deadlines.
* Take responsibility for personal workload, organising tasks effectively and knowing when to seek support.
The successful candidate will be expected to work from their base location on a weekly basis in line with current Civil Service requirements, outside of any reasonable adjustments. Travel to other base locations, particularly Birmingham and Nottingham, may be required for team events and meetings.
Skills & Qualifications
* High level of accuracy and attention to detail, including maintaining accurate records.
* Ability to plan, organise and manage own time to meet deadlines.
* Excellent communication skills and professional approach when interacting with customers and colleagues.
* Experience using IT systems, particularly Microsoft packages such as Excel, Teams and Outlook.
* Experience of working in an operational delivery area or administration role.
