Job Overview
Due to the expansion of the service to encompass 7 day working, we have an exciting opportunity for a full‑time Senior Clerical Officer to join our administration team, here in the Endoscopy Department.
Due to the nature of the work you will be IT literate, able to use most Office software and work unsupervised. Previous experience in the health sector would be an advantage and excellent customer service, the ability to work as part of a team and work to tight deadlines is essential.
You will be expected to be flexible and support the department as and when the need arises. This could include cross‑site cover at our Broadgreen Diagnostic Hub (should the need dictate).
Responsibilities
* Book various patient appointments, maintain and use hospital systems (IPM, dashboard, ICE, PENS), monitor waiting lists, database entry, liaise with health professionals.
* Deal efficiently and professionally with requests of all service users and patient enquiries and provide functional flexibility to meet the demands of the service.
* Support the specialist nurse team with pre‑investigation and the E‑referral service.
* Take lead responsibility for dealing with referrals for all outpatient and day‑case appointments for endoscopic procedures both diagnostic and therapeutic ensuring high quality service.
* Work unsupervised but be available to give advice to junior members of the team.
* Lead booking of referrals for outpatient and day‑case appointments, ensuring cooperation with anti‑coagulant nurse and/or dietician as appropriate.
* Record ward attenders, liaise with health professionals, wards A/E and GP surgeries.
* Handle out‑patient referrals in the Choose & Book partial booking system, register new patients on IPM PAS and add to waiting lists.
* Monitor and highlight waiting list breaches and waiting times.
* Book procedures onto appropriate lists according to endoscopist skill and referral details.
* Ensure appointment letters and information leaflets are appropriate for each procedure.
* Record all outcomes on IPM PAS and remove patients from waiting lists as necessary in accordance with Trust access policy.

* Ability to work unsupervised and assist junior members with any work‑related problems.
* Assess, prioritise and plan workload effectively.
* Good communication skills.
* Mentor junior members of the administration team.
* Deal with the public with tact and discretion.
* Flexibility – rotate between three main booking areas.
* Team player.
Essential Qualifications
* NVQ 3 or equivalent.
* Knowledge of a hospital administration system (preferably IPM PAS, ICE).
* Experience of direct contact/liaison with patients/carers/general public & health professionals.
* Working knowledge of a hospital administration system and computer system; preferably IPMPAS, ICE.
Desirable Criteria
* Train new members of staff on the IPM PAS system.
* Interest in service design and improvements.
* Knowledge of patient administration and CRIS Scheduling system.
* Background knowledge on Gastroenterology and Hepatology tests and procedures.
* Ability to use computer software applications (Excel, Access).
