Our charity headquarters and forward operating base are located at Rochester Airport, with our aircraft hangar and maintained at Redhill Aerodrome. When the call comes, we can reach any part of Kent, Surrey or Sussex in under 30 minutes. SALARY: £35,000 - £38,000 per annum MAIN PURPOSE OF ROLE: We are now seeking a highly organised and motivated Legacy Administration Manager to join our team. The role will manage and administer legacy gifts left to the charity ensuring that legacy income is maximised, recorded, and received in a timely manner that is compliant with relevant regulations. JOB REQUIREMENTS This role requires someone who can run the process of legacy administration from end to end including communicating with executors and keeping accurate records as needed, resolving disputes and working with legal advisors if required. As the role will be undertaken with a large degree of autonomy the right candidate will have a certificate in Charity Legacy Administration or equivalent training or experience, DUTIES TO INCLUDE: • Process incoming legacy notifications from a range of different sources, creating and maintaining appropriate digital and physical records • Respond to all legacy related correspondence in a sensitive and timely manner • Manage legacy gifts to ensure timely receipt of income and accurate record keeping ensuring compliance with legislation, the Charity’s Scheme of Delegation and alignment with Charity Commission, and Institute of Legacy Management best practice • Review and approve estate accounts ensuring they are correct and appropriate, constructively questioning any anomalies • Liaise with executors, solicitors, and co-beneficiaries (mainly other charities) to progress gifts and resolve any challenges ensuring the charity’s entitlement is protected and where appropriate encourage charities to collaborate to minimise costs. • Identify and escalate contentious or complex cases along with those that pose a higher level of reputational, financial, or legal risk. Working with KSS or other legal advisors as required. • Develop and maintain strong relationships with internal teams and external stakeholders to ensure continuity of messaging and experience for those involved in the legacy giving for the charity. • Provide additional support to lay executors if required. • Follow up on legacy cases where contact has not been forthcoming, has been lost, or progress has stalled. • Work closely with and provide cover for the Legacy and In Memory Manager to maximise the impact of legacy fundraising communications and events, and the potential growth of this income stream. • Maintain and improve legacy administration policies and processes • Ensure all work is undertaken sensitively and in line with GDPR • Report to Directors and Trustees on the legacy pipeline and update progress with contentious cases. • Work closely with KSS Finance and Supporter Data Processing teams to accurately capture, record and report legacy income.
