Administration Officer

Band 3, Permanent, full-time (37.5 hours per week). The role is based at the Psychiatric Liaison Services, Sunderland, Pallion Health Centre, Hylton Road, Sunderland, SR4 7XF.

Employer: Cumbria, Northumberland, Tyne and Wear NHS Foundation Trust. Salary £25,760 – £27,476 per annum. Closing date: 4th June 2026.


Job Overview

The Administrative Officer supports the multi‑disciplinary clinical team within Psychiatric Liaison Services, ensuring high‑quality care from admission through treatment to discharge. The role involves managing complex diary workflows, providing accurate real‑time minute taking, maintaining the patient information system, and coordinating administrative actions following meetings.


Main Duties

* Support multiple team meetings daily, recording and updating patient information in real time.
* Co‑ordinate post‑meeting administrative actions, including arranging further patient‑related meetings within limited timescales.
* Carry out general office duties such as ordering, petty cash management, filing and scanning.
* Maintain accurate, confidential records and communicate effectively with service users and professionals via telephone.
* Provide cover during periods of absence for members of the wider administration team.
* Participate in relevant training courses and uphold confidentiality and security of patient information.


Person Specification


Education and Qualification

* Word‑processing skills at Level 3 (e.g. OCR/RSA Level 3 or equivalent).
* Audio typing qualification or demonstrable equivalent experience.
* General education to O‑Level/GCE GCSE (incl. English & Maths).
* NVQ Level 3 in Customer Care (or equivalent).


Knowledge and Experience

* Knowledge of NHS policies and procedures.
* Proficient in Microsoft applications and email communication.
* Ability to maintain and update patient information systems (e.g. RiO).
* Experience in secretarial/clerical work and handling confidential information.
* Familiarity with processing CPA, Mental Health Act and safeguarding documentation.
* Experience with stock ordering, petty cash and medical records filing systems.
* Priorise and plan own workload effectively.


Skills and Competencies

* Excellent verbal and written communication skills.
* Good organisational and planning abilities.
* Shorthand skills.


Role/Team Specific Requirements

* Flexible attitude to cope with fluctuating workloads and occasional cover for other areas.


Personal Characteristics

* Discrete handling of confidential and sensitive information.


Additional Requirements

* Must meet the mobility requirements of the post to provide cover where agreed.
