Job overview

We are looking for a friendly and motivated Appointments/Clerical Officer to provide efficient and effective support in delivering a high quality service to patients. You would be joining our friendly team within the Podiatry & Orthotic service, working from Port Talbot Resource Centre.

The post holder will require to have excellent communication skills, have a positive and flexible approach, be able to adapt to the continuous changes of the service and also enjoy working as part of a busy team.

The role will involve providing administrative support such as the processing of clinic changes, the correct recording of patient pathways, the retrieval, preparation and filing of patient notes as and when required. To deal with telephone calls from members of the public, in a confidential and professional manner.

Main duties of the job

Responsible for the day-to-day administration support of the Service

Provide a confidential administrative and reception service.

Updating of electronic and paper-based systems, collating of information, mail distribution etc.

Participate in CPD and develop skills and knowledge through participation in Health Board Education Programme and other developmental activities.

Essential Qualifications & Knowledge

Essential criteria

1. Good standard of education – GCSE or equivalent in English and Maths
2. ECDL or equivalent qualification / experience
3. RSA/OCR II qualification or equivalent demonstrable skills Experience of working in an office environment

Desirable criteria

4. NVQ Business Administration Level 2

5. Experience of using Microsoft office applications including Word, Excel and PowerPoint
6. Experience of data entry
7. Experience of dealing with the public answering enquires and follow up action

8. Ability to remain calm and exercise tact whilst working under pressure and where verbal aggression may be experienced

16. Welsh Language Skills are desirable levels 1 to 5 in understanding, speaking, reading, and writing in Welsh
