Reporting to the Financial Controller, you will have a varied role providing administrative support across the team as well as HR and finance/procurement support. Highly organised and able to prioritise a varied workload, you will be confident communicating with all business stakeholders (staff, shareholders, suppliers and customers), be trustworthy with confidential and sensitive information and have a can-do attitude with drive to get stuck-in.
Key responsibilities include but not limited to:
Administrative Support
* Office Manager will provide administrative support to executives and other team members as needed.
* with the organisation of meetings, events, booking meeting rooms and office attendance where needed
* travel, hotels and car hire where necessary
Office Administration
* daily office operations to ensure a smooth and efficient workflow
* incoming and outgoing calls, emails, and correspondence.
* printing, binding and couriers
* with updating & internal auditing of processes and procedures
* and co-ordinating company-led social events and away days
* other ad hoc duties
Human Resources
* in the recruitment process by coordinating interviews, onboarding new employees, and maintaining personnel records.
* HR functions such as timekeeping, attendance tracking, and benefits administration.
* with conducting & presenting staff survey
* and management of HR SharePoint and assist with implementation of HR system
Finance/Purchasing
* purchase orders ensuring in line with relevant processes & approval thresholds
* goods delivered and goods receipt purchase orders
* the purchase order register, ensuring it is up to date and accurate
* weekly timesheets for government grant reporting and assist with the collation of the quarterly claim
* Finance Controller with grant audits
* with month end stock count
* the fixed asset register and ensure all assets are tagged
