Overview
As a Finance Administrator you will support all parties with financial process and document control relating to projects, programmes, service contract, suppliers and Serverfarm requirements. You will develop and provide reports to the Leadership Team, be responsible for compliance to the finance cycle and represent Serverfarm in conversations and regular customer and supplier forums. You will also look to develop initiatives to improve efficiencies across our financial processes and procedures. Your financial analytical skills, combined with excellent stakeholder relationships and communication will bring control, direction, and insight to our engagements, data gathering and reporting.
Your role will be to deliver a range of services for the Data Centre Services (DCS) team, including (but not limited to):
1. Logging, tracking, and ensuring accurate financial records for all contracts and projects
2. Generating and managing policies and measures
3. Monitoring, reporting and establish improvements in financial management
4. Researching and implementing toolsets
5. Developing financial processes to align with expected growth within Data Centre Services
Role & Responsibilities
1. Log, track and progress Serverfarm and customer finance requests by undertaking the following:
a. Develop an end to end “finance” process that is lean and efficiently controls the ‘forecast, invoicing, payment’ cycle.
b. Undertake DCS financial transactions as required, such as: financial project summaries, PO validation, supplier PO requests, invoicing, and debt management.
c. Take responsibility for finance monitoring and tracking.
d. Improve the speed, quality, and reliability of financial processes.
e. Oversee the finance lifecycle and assist stakeholders to deliver to the business requirements against agreed forecasts.
f. Record, distribute and follow up on minutes and actions from finance meetings to ensure issues are captured, escalated, and resolved in a timely manner.
g. Consolidate and present forecasts and actuals for onward transmission to the business.
h. Ensure all customer finance requirements are acted upon in line with our and the customer agreed deadlines.
i. Investigate and respond to customer and Serverfarm financial issues and queries efficiently and escalate as appropriate.
j. Provide general administrative support to the Service Delivery Manager.
2. Generate and Manage Policies and Measures:
a. Help standardise financial management activities and processes; by developing guidelines governing how financial processes should be managed throughout their lifecycle from forecasting opportunities, invoicing to the payment of invoices and recovery of debt.
b. Communicate outcomes on a dashboard for all to gain visibility to the progress of DCS revenue and profit.
c. Support the SDM in the identification and logging of relevant financial process Risks, Assumptions, Issues, Dependency (RAID) Management and ensure compliance with Serverfarm standards.
3. Monitoring, reporting and improvement for finance execution and management
a. Ensure continual review of formalised financial practices to reflect changes in the business strategy, market conditions, supplier issues and customer requirements.
b. Undertake tracking and reporting against financial targets, invoice forecasts, monthly revenue and profit achievement and aged debt.
c. Ensure alignment to the DCS Responsibilities and Authorities Matrix.
4. Research and Implementation of Toolsets
a. Assist with the research and help determine the options available for professional software to speed up and facilitate Finance Management activities, such as:
i. Digital sign-off/approval
ii. Consolidate data and automate tasks
iii. Improve data quality for reporting
iv. Record and Optimize resource utilization.
b. Champion user adoption and training
5. Developing the Finance Administrator function:
a. Ensure continual review of formalised financial practices to ensure they remain aligned to Serverfarm commercial requirements, present no risk to the business, whilst meeting customer finance and commercial requirements.
b. Offer improvement initiatives and ideas regarding forecasting, procurement, invoicing, debt and related activities.
c. Periodically evaluate and report the maturity of the Financial Management processes.
d. Ensure there is a DCS central document control and review process for all stakeholders that is aligned to IS027001.
e. Develop a feedback chain to enhance compliance and improvement.
Your Profile
• Previous experience of successfully working independently and as part of a team in a dynamic, fast-paced environment.
• Very good understanding of finance and organisation processes with the ability to manage own tasks and collaborate on financial aspects in alignment with business financial strategies and resource plans.
• Excellent attention to detail with a dedication to accuracy, quality, integrity and able to prioritise and work to set deadlines.
• Demonstratable ability to persuade others to aligning with your views.
• Strong communication both written and verbal.
• Highly collaborative, demonstrating stakeholder engagement, team working, results driven and personable across internal and external teams.
• Ability to challenge and influence team members and senior management to drive improvements in finance transactions, reporting, accuracy of forecasting and ensure stakeholder alignment with business requirements.
• Competent in using Microsoft suite of tools including Outlook, Word, PowerPoint, Teams, and SharePoint.
Would be desirable:
o Advanced Excel skills - ability to build and manage complex spreadsheets for management and analysis of financial information.
o Experience of using a Finance Management toolset to enable increased automation of tasks and manage reporting, risks and issues.

Security Clearance
To be successfully appointed to this role, it is a requirement to obtain Security Check (SC) clearance. To obtain SC clearance, the successful applicant must have resided continuously within the United Kingdom for the last 5 years, along with other criteria and requirements. Salary range: £20,000 - £30,000 (dependent on experience)
