Job Title: Executive Assistant
Location: Shoreditch, London (3-5 days per week onsite)
Duration: Until End of Jan. 2025
Salary: £40k per annum + paid holidays + pension or £206 per day Inside IR35
The Opportunity:
* The Marketing Strategy & Operations team leads International Product marketing strategy, marketing planning and operations for the Digital Media Marketing Organization.
* The Executive Assistant for the organization will report to the Vice President, Strategy & Operations and support the EMEA based leadership team.
What you’ll do:
* Daily business support for the VP and their respective orgs;
* Calendar management and extensive scheduling with both internal and external partners in timezones around the world;
* Manage travel schedules, travel logistics, and expenses;
* Process business expense reimbursement requests, invoices and PO handling;
* Schedule meetings, conference rooms and presentation equipment;
* Coordinate special projects including team offsites, team building activities and all hands meetings, and team space planning;
* Coordinate and create department communications and materials as needed;
* Regularly collaborate with cross-functional Administrative & Executive Assistants and provide backup as needed;
* Coordinate assistance with equipment, software, and office issues;
* Create, edit and process internal and external correspondence;
* Handle confidential information with integrity and exercise discretion;
* Must be able to work onsite between 3-5 days/week. Candidate will be based in our Shoreditch office.
What you need to succeed:
* Minimum of 5-7 years of experience as an Executive Assistant in high tech.
* Successful candidate will be energetic, positive, and motivated with excellent communication skills.
* Must have the ability to prioritize and apply sound judgment, and the ability to juggle multiple demands simultaneously.
* Candidate must demonstrate strong attention to detail, accuracy, and be able to work effectively with a minimum of direction in a fast-paced environment.
* Proficient in Outlook (email and calendaring), PowerPoint, Excel, and Word; experience with Concur or other expense-reporting software.
* Experience with international travel, passport and visa management, and TripActions or other business travel software strongly valued.
* Ability to work enthusiastically across organizations and with diverse personalities required.
* Ability to work autonomously, take initiative, and follow-through.
* Team player with strong interpersonal skills and ability to manage complex assignments.
* Bachelor’s Degree or equivalent work experience.
