Druce is seeking a skilled Facilities and Fleet Manager to ensure the smooth operation and safety of our facilities and fleet. The facilities and fleet manager oversees all aspects of building functions and guarantees the safety and functionality of all Druce offices, currently sitting at 7 offices with further expansion this year. Duties include running routine safety inspections, corresponding with contractors, planning maintenance work, maintaining records, and overseeing refurbishments, renovations and relocations of current and future Druce offices.
You will also be responsible for managing all aspects of fleet operations, including vehicle maintenance, scheduling, procurement, and compliance. Our ideal candidate is well-versed in facilities management processes and exhibits high multitasking and organisational abilities.
Job Description / Key Responsibilities:
* Ensure all building facilities adhere to proper safety standards
* Comply with all health and safety policies and procedures and UK standards
* Maintain equipment and building provisions to meet health and safety requirements
* Organise and plan building instalments and refurbishments
* Prepare and implement project budgets and timeframes
* Communicate with external contractors/vendors and landlords to whom Druce lease any premises off
* Managing building and system emergencies as they arise
* Sourcing contractors and suppliers for repairs, maintenance, cleaning, renovations, waste disposal, security and IT systems
* Managing budgets and identify areas for cost savings
* Developing building plans outlining strategies for improving efficiency and reducing costs and forecasting the facility’s future needs
* Ensuring building maintenance reports are up to date
* Maintain all company vehicles, ensuring servicing is up to date and company processes and policies are followed
* Develop and implement comprehensive fleet management policies and procedures
* Oversee the maintenance and repair of all company vehicles to ensure they are safe and in optimal working condition
* Coordinate vehicle inspections and ensure compliance with all regulatory requirements
* Manage vehicle procurement, including negotiating contracts with suppliers and vendors
* Develop and maintain relationships with vehicle dealerships, leasing companies, and other relevant partners
* Create and maintain accurate records of vehicle inventory, maintenance history, and expenses
* Arrange and facilitate the companies car parking arrangements
Person Specification:
* Experience in a similar role, 5+ years preferred
* Knowledge of HVAC and other building systems
* Excellent time management and multitasking skills
* Basic understanding of accounting and finance principles
* Strong problem solving skills
* Experience maintaining and adhering to budgets
* Excellent verbal and written communication skills
* Contract handling experience
* Strong attention to detail
* Business management, including scheduling, strategic planning and administration
* Strong knowledge of vehicle maintenance and repair procedures
* Familiarity with regulatory requirements related to fleet operations
