What an Office Administrator does at Worldwide
The Office Administrator provides administrative and facilities support for both office and home based staff as well as to assist on various other projects
What you will do
* Collaborate with internal teams and stakeholders to identify and define value-add analytics in The organisation of administrative services, including telephone, mail, courier and reception. Ensure incoming calls and correspondence are received and re-directed appropriately
* To ensure all ingoing and outgoing shipments are handled as required, including interdepartmental staff training as necessary
* Ensuring that the office runs smoothly and is managed correctly in all areas of administrative support; including, but not limited to preparation of correspondence, notarisation and publications using MS Office.
* Acting as main point of communication for office; vendor research, negotiation and comparisons, liaison with building administration and local labour inspectorates to ensure we have appropriate registrations in place etc.
* Acting as a point of contact for vendors, including commercial cleaning contractors. Assisting with office modifications or improvements when required
* Maintaining office health and safety and updating office Business Continuity Plan when necessary
What you will bring to the role
* Proficiency in MS Office, Internet, Ability to operate office machinery and systems
* Ability to work independently and with a team
* Excellent organisational and time management skills
* Awareness of when to make independent decisions or seek supervisory approval
* Ability to adapt to new procedural requirements
* Excellent verbal and written communications skills and customer service skills
Your background
* 2-4 years office/business experience working in a support role essential
* Excellent standard of written and spoken English
* Ability to prioritise and handle multiple projects simultaneously; flexible and able to use sound independent judgment and take initiative to assess information
* Ability to interact in a diplomatic and professional manner, with clients, visitors and staff as required
