We are seeking a proactive Administrative Assistant to join our Private Client team, providing essential support to our secretaries and lawyers. You will need to be highly organised and a detailed, data driven individual.

Our Private Client team is made up of four partners, 18 fee earners, and four secretaries. We specialise in delivering high-quality legal services. As an Admin Assistant, you will play a key role in supporting the team’s day-to-day operations and ensuring everything runs efficiently.
Key Responsibilities:
You’ll be involved in a wide range of administrative tasks, including:
* Supporting the billing processes: generating reports, billing guides, and accurately tracking invoices
* Managing file systems: archiving, e-filing
* Scanning and photocopying confidential documents
* Assisting with file opening, including inputting party details and producing engagement letters
* Processing incoming and outgoing post, including collation of enclosures
* Booking couriers and handling document distribution
* Assisting with document archiving (e.g. Wills, Deeds)
* Learning and using internal systems such as iManage, 3E, Intapp, NBI, Nintex, and Kofax PDF
* Any other admin tasks that support the smooth running of the team
Qualifications & Experience:
It is essential that the applicant has:
* Min of Five GCSEs (or equivalent) A*-C, including Maths and English
* Administrative support experience
* Intermediate knowledge of Microsoft Outlook, Word, Excel, and PowerPoint
* Excellent English and grammar
* Ability to learn new systems and processes with minimal supervision
The successful candidate needs to be:
* Eager to learn and willing to take initiative
* Highly organised with excellent attention to detail
* Data-driven, with good numerical and formatting skills. Ability to reconcile data.
* Confident using Microsoft Office, especially Excel (basic formulas, formatting, ribbon tools)
* A strong communicator with good interpersonal skills
* Reliable and self-motivated, with a flexible work ethic
* Comfortable working in a busy office environment and seeking out tasks to support the team
