The purpose of this exciting new role is to support in the provision of an effective and efficient HR service across the organisation that maintains accuracy and complies with relevant legislation and policy through the facilitation of the full employee lifecycle. Key Responsibilities Assist with recruitment, selection and onboarding processes ensuring compliance with the organisations policies and working practices. Support the payroll and employee benefits process through the preparation and provision of accurate and timely data. Support the delivery of employee training programmes ensuring attendance is recorded and feedback is collated. Recruitment, selection and onboarding Support the creation of advertisements, job descriptions and person specifications in consultation with key stakeholders as appropriate Placement of advertisements to include uploading to appropriate media sites and job boards to ensure maximum exposure Support in the preparation of interview schedules, questions and assessment documentation ensuring that interview days run smoothly and that colleagues are aware of their responsibilities Organise refreshments for interview days as required, setting up and clearing the room before and after Undertake identification checks as part of the interview day, as required Undertake the full range of pre-employment checks for each candidate as necessary Ensure the safe collation of recruitment documentation ensuring documents are destroyed in line with the Data Retention policy Process DBS applications for all employees, including the monitoring of the update service annually and the processing of re-applications as necessary Support the preparation and distribution of contracts in a timely manner Support IT in the preparation of identification badges Ensure new employees have been added to the various software systems, provided with access and relevant training Working collaboratively, coordinate and monitor new starter administrative processes, ensuring compliance, creating files, ensuring final check list is complete before the commencement of employment, chase references and assist with overseas checks Ensure line managers review and document health checks accordingly with new employees Ensure a DSE assessment has been completed by new employees and acted upon as necessary Performance monitoring and recording Support the monitoring of probationary periods through the collation and filing of documentation and provision of letters Assist the performance management process ensuring compliance with organisational policies and procedures, updating Sage HR as necessary Assist with the monthly employee one-to-one procedure, through the collation and filing of documentation Absence monitoring and recording Ensure the collation and filing of documentation relating to return-to-work interviews Ensure medically signed fit notes have been obtained for relevant absences and filed appropriately Monitor and update employee information with the third-party EAP provision Payroll matters Support in the preparation of accurate payroll information within agreed timescales. Process employee starter and leaver protocols in accordance with organisational policy Training Ensure all employees attend mandatory training sessions, ensuring invitations are delivered, employee records are updated and feedback forms are collated and shared with training leads and certificates have been provided Employee relations Build and maintain effective working relationships with colleagues to ensure that information and data provided is planned and coordinated appropriately Support the Head of Finance and HR with administrative tasks around disciplinary, grievance, capability and conduct issues to include reviewing and compiling documentation for formal meetings Service and operational Ensure systems are updated with employee changes in circumstances Ensure all computerised employee records are maintained accurately and effectively Reporting, compliance and audit Support with the updating and maintaining of HR related databases, spreadsheets and systems To assist the Head of Finance and HR in preparing for internal and external audits To assist the Head of Finance and HR with the review and implementation of robust and consistent HR processes, procedures and controls Administrative Undertake general office duties, to include scanning, filing and photocopying Monitor the HR mailbox, responding to correspondence in a timely and efficient manner Respond to enquiries from internal and external sources, signposting where appropriate Support the drafting, to agreed templates, and distributing letters, contracts of employment and variations Financial Monitor and process invoices received in relation to HR service delivery Support the processing of employee expenses Skills, Knowledge and Expertise Qualifications and specific training Minimum of 5 GCSEs (level 4 or above) including English and maths (essential) Experience Experience of working in a customer focussed environment (essential) Previous clerical or administrative experience (desirable) Previous experience of working in a team (desirable) Knowledge A basic knowledge of HR policies, procedures and processes (desirable) Skills A strong understanding of confidentiality and data protection (essential) Ability to multitask (essential) Attention to detail (essential) Good written and verbal communications skills (essential) Strong skills in MS Office products and the ability to learn new systems (essential) Enthusiastic team player who actively contributes in a flexible and adaptable manner (essential) The ability to work accurately and actively problem solve (essential) The ability to manage time effectively (essential) The ability to be proactive (essential) We welcome applications from all suitably-qualified candidates, irrespective of gender, disability, marital or parental status, ethnic or social origin, religion, belief, or sexual orientation.
