We're on the lookout for a friendly, organised and proactive Administrator to join our busy Tewkesbury team. You'll play an important role in supporting our Ecology and Heritage specialists, helping projects run smoothly and keeping our office running at its best. Purpose: Be an integral part of our friendly, conscientious and enthusiastic Administration team providing support to the Ecology and Heritage disciplines in a busy environmental consultancy practice. To provide office and administrative support to enable the smooth running of the office and to create a positive and proactive working environment.
Duties to include:
Ecology and Heritage Administration Support:
* Provide administrative support to the Ecology and Heritage teams including data entry into and manipulation of the software database (project and time management system), including setting up new job records, inputting project instructions, outlays and maintaining inhouse tracking system.
* Provide administration support to team members to assist with the production and maintenance of documents and spreadsheets, client contract documents, printing, mailing and proof reading.
* To competently use Microsoft office packages (Word, Excel, Outlook and Teams) and other software to produce/maintain documents, spreadsheets and databases.
* To manage staff training records for the Ecology team including booking courses and ensuring compliance.
* Manage and organise travel and accommodation bookings, primarily for the Ecology teams, as and when required.
* Be prepared to understand and assist with the production and circulation of invoicing tables, running invoicing reports, and provide support in the invoicing function for the discipline teams.
* Work with other members of the Administration team to keep the tracker up to date.
General Office Support:
* Order and maintain stationery, office supplies and PPE equipment.
* Assist with checking credit card statements and liaise with CSA finance department.
* Maintain utilities records including monthly meter reading and submission to utilities provider.
* Answer the telephone, take and pass on messages, alongside the other members of the administration team.
* Provide general support and holiday cover to the Administration team.
* Adhere to company policies and procedures.

Person Specification
Knowledge & Experience
Essential:
* Administration experience (3 -5 years previous experience)
* Experience of data entry and record keeping
* Experience of working within a busy office environment
* A solid experience of working with Microsoft Office Suite (Word, Excel, Outlook, Teams)
Desirable:
* Experience working within a planning and/or environmental consultancy
* Experience of Software package (Onesys/Coretime time management system)
Skills & Abilities

Qualifications
Essential:
* GCSE grade C or above in English and Maths or equivalent

Salary: £ 24,600-£26,000 p/a,
Hours: Full time Mon-Fri, 37.5 hours
