Responsibilities
* Provide comprehensive administration and secretarial support to multidisciplinary teams, wards, and departments, including named medical staff and junior medical staff.
* Serve as the first point of contact for teams, wards or departments: meet and greet visitors, receive initial enquiries, and direct telephone calls.
* Maintain accurate electronic patient records (Rio) by taking personal details and uploading them into the system.
* Meet deadlines, collate data, and uphold administrative standards and key performance indicators.
* Support Medics, Senior Practitioners, and Registered Professionals (Key Workers) to ensure service user outcomes are met.
* Assist in maintaining diaries, arranging meetings, taking formal minutes, and preserving records on up‑to‑date templates.
* Responsible for building maintenance and reception operations.
* Collaborate with other administrators, reporting to the Lead Admin and Team Manager, and manage workload autonomously.
* Occasionally provide supervision to support administrators or apprentice posts.
Qualifications
* Motivated, enthusiastic, forward‑thinking, flexible, resilient, and resourceful.
* Experience or keen interest in working with service users accessing community mental health services.
* Proven administration skills and excellent organisational ability.
* Warm, friendly telephone manner and competent face‑to‑face interaction.
* Proficient typing skills (note taking & dictation).
* Team‑player attitude.
* Experience handling difficult or challenging conversations (advantage).
* Strong knowledge of Microsoft Office, especially Word and Excel.
* Capacity to manage personal workload and maintain high standards in fast‑paced environments.
* Legal right to work in the UK (no Skilled Worker visa sponsorship available).
Working Hours
The service operates from 0900 to 1700. Monday and Friday are required days; the third day will be agreed at interview.
