We are now expanding to deliver a complete healthcare service at Oakhill STC on behalf of NHS England. These include primary care, mental health, substance misuse, pharmacy, GP, psychiatry, psychology, and administration. There is also an onsite dentistry service. About Oakhill STC Oakhill STC is a secure facility for up to 80 male and female young people aged 1218. Young people have access to a fully equipped education centre offering a full timetabled curriculum, specialist support services, healthcare provision, and a range of extra-curricular activities. Job Summary Join an exciting and growing service at Oakhill STC focused on improving young people's well-being. As an Administrator, you will provide a wide range of administrative support to the healthcare department. Duties will vary depending on departmental priorities and may include processing referrals, making appointments, answering calls, updating our clinical system (SystmOne), preparing for or minuting meetings, ordering supplies, filing, photocopying, and more. Duties Support the healthcare team in delivering a high-quality service, including: Making patient appointments, ensuring clinic lists are accurate and young people are informed Processing referrals to hospitals or external services and following up to ensure progress Updating SystmOne patient records (training provided), including scanning and coding documents Update and maintain department databases (e.g., optician, dentist, admissions) Arrange meetings: invite attendees, prepare agendas, organise documents, and take minutes/actions (training provided) Provide day-to-day administrative support to the Practice Manager, Head of Healthcare, and clinical leads Manage archiving tasks, including sending and receiving written notes Prepare reference books for nursing staff (e.g., shift planners, tick sheets) Place orders with suppliers and maintain adequate stock levels Answer telephone calls professionally and ensure messages/actions are accurately followed up Support visitors and contractors, including: Booking gate passes where required Escorting visitors/contractors to and from the healthcare department as needed Essential Skills & Experience Previous experience in an administration role Well-organised and methodical approach to work Good communication skillsboth professional and friendly Ability to work independently but seek support when needed Ability to multitask and prioritise workload effectively Strong IT skills (SystmOne training provided) Excellent time management and ability to meet deadlines Proven track record of delivering accurate, high-quality work General Information The post holder may occasionally be required to undertake additional duties appropriate to the role.
