Workplace Experience Coordinator

We're looking for a proactive and people-focused Workplace Experience Coordinator to help deliver a warm, seamless and engaging workplace environment for employees, clients and guests. As the first point of contact in our London office, you'll be the friendly face who sets the tone for every visitor experience - while ensuring our workspace is safe, efficient, and running smoothly behind the scenes.
What You'll Be Doing
Front of House & Customer Experience
Welcome all visitors, clients and employees with professionalism and positivity.
Manage visitor passes and follow all on‑site security procedures.
Uphold immaculate reception and communal areas that reflect our brand standards.
Respond to Workplace emails and tickets with a friendly, solutions-focused approach.
Deliver exceptional customer service and support daily workplace needs.
Workplace Operations
Manage meeting room bookings and support the setup of meetings, events and hospitality.
Monitor workplace areas, raise maintenance tickets and liaise with vendors until resolution.
Support reactive maintenance, contractor attendance and follow‑up activities.
Maintain accurate documentation including work orders, contractor logs and service records.
Handle mail, couriers, office supplies, consumables and temporary signage requests.
Oversee access control, including issuing access cards and managing permissions.
Assist with new starter office orientations and provide general workplace guidance.
Employee Experience
Support internal events, engagement activities and social initiatives.
Foster a positive, inclusive workplace culture through proactive, high-quality service.
Act as a key contact for employee workplace-related queries.
Security & Safety
Oversee visitor access processes and badge administration.
Support emergency procedures such as fire drills and evacuations.
Serve as a trained First Aider (training provided if needed).
Ensure all incidents are logged and escalated appropriately.
