Decom Engineering is a fast-growing provider of innovative R&D and engineering solutions to the energy industry, specialising in our subsea Chopsaw range and custom-built equipment. With a current focus on the IMR & decommissioning sector, we support major offshore projects across Australia, the USA, Brazil, the North Sea, and the Far East.
Following a number of recent contract wins, we are seeking a Business Support Administrator to join our dynamic team in Aberdeen. This is a rare opportunity to work with a dynamic and forward looking company.
Role Overview
The Business Support Administrator provides comprehensive administrative and coordination support across the organisation. This role is central to ensuring efficient day-to-day operations, accurate documentation, and effective communication between departments.
Working across multiple teams, the role supports general business administration, internal coordination, and the maintenance of company systems and records. The position suits a highly organised individual who is comfortable managing multiple priorities in a fast-paced professional environment.
The main responsibilities of the role include, but are not limited to:
•\tProvide day-to-day administrative support to Engineering and Operations teams
•\tAssist with preparation, formatting, and control of operational and technical documentation
•\tSupport mobilisation activities, including preparation of CIPL documentation and FAT records
•\tMaintain and track equipment certification and supporting documentation
•\tSupport document storage, revision control, and structured filing within company systems
•\tAssist with administration of the Integrated Management System and ISO-related documents
•\tBook couriers, freight, and support customs documentation for global equipment mobilisation
•\tUpdate and maintain records for blades, spares, consumables, and goods-in-process
•\tSupport fleet-related administration in coordination with the Fleet Manager
•\tSupport the Financial Controller with purchase order administration and invoice tracking
•\tCollate staff expense claims and supporting documentation for approval
•\tAssist with internal commercial and cost documentation record keeping
•\tProvide administrative support to CRM activities, including uploading contact information
•\tSupport bid and tender administration, including logging submission dates and outcomes
•\tAssist with organisation and storage of marketing collateral, including project imagery
•\tProvide administrative support to marketing and business development activities as required
•\tTrack upcoming trade shows and assist with travel bookings and logistics coordination
•\tArrange travel, accommodation, and itineraries for mobilisations and business travel
•\tMaintain personnel training, competency, and offshore records, including expiry tracking
•\tTake and circulate minutes for internal management and project meetings
What We’re Looking For
Essential:
•\tApproximately 2 years’ experience in an administrative or business support role
•\tStrong organisational and time-management skills
•\tHigh attention to detail and accuracy
•\tConfident use of Microsoft Office (Word, Excel, Outlook, PowerPoint)
•\tAbility to manage multiple tasks and competing priorities
•\tProfessional written and verbal communication skills
•\tExperience supporting multiple departments or stakeholders
•\tAbility to work independently with minimal supervision
•\tStrong document management and record-keeping skills
•\tProfessional and discreet approach to handling sensitive information
•\tValid UK driving licence and access to own vehicle
Desirable:
· Experience working in a project-based or SME environment
· Exposure to engineering, operations, or technical teams
· Familiarity with structured document control systems
· Basic reporting or data tracking experience
· Experience supporting finance, commercial, or marketing administration
