Job Title: Patient Coordinator x2 Posts
Salary: £12.21 per hour
Contract: Permanent
Working pattern: Part-time
Location: Claremont Clinic, 459-463 Romford Road, Forest Gate, London, E7 8AB
Responsibilities
* Ensure the smooth operation of the reception desk with professionalism and organisation.
* Answer calls, review emails, inbound documents and prescription requests.
* Act as the primary point of contact between patients, clinicians and the practice team; help signpost patients to services.
* Deliver consistently high standards of customer service.
* Greet patients on arrival and check them in (manually or via patient touchscreen).
* Handle telephone enquiries and general enquiries face-to-face; arrange and manage appointments, including interpreters when needed.
* Process repeat prescriptions and manage related administrative tasks; record and action patient messages as required.
* Manage patient lists, recalls (immunisations, smear tests, etc.), and relevant data in practice systems (EMISWeb or equivalent).
* Support registration of new patients and case management in line with practice policy.
* Assist in administration of e-referrals and clinician worklists; maintain accurate records and scanning workflow.
* Keep the reception area tidy and ensure premises security after hours when required.
Requirements
* Essential: At least one year of experience in a General Practice setting as a Patient Coordinator/Reception role.
* Proficient Microsoft Windows ICT skills with experience using EMISWeb (or SystmOne) and related systems (e.g., accuRx).
* Excellent communication skills with a clear and polite telephone manner; ability to maintain confidentiality.
* Ability to handle sensitive situations with empathy and professionalism; strong teamwork and problem-solving abilities.
* Desirable: GCSEs in English and Maths (C or above) or equivalent.
* Live locally or able to commute to Claremont Clinic within 20 minutes.
Additional information
* Hours for Post 1: 25 hours per week, Monday to Friday, 8:00 am – 1:00 pm.
* Hours for Post 2: 30 hours per week, Monday to Friday, 1:00 pm – 7:00 pm.
* Flexibility to cover colleagues during annual/sickness leave may be required.
* Disclosure and Barring Service (DBS) check is required.
