An exciting vacancy has arisen at our Preston Manufacturing site for an Executive Assistant to join the team. Reporting directly to the Operations Director & UK Service Director, the main purpose of this role is to manage key internal & external stakeholders, supporting internal meetings governance, providing outstanding administrative skills and acting as an ambassador for the business and on behalf of the Directors.
As an Executive Assistant you will:
* Manages calendar, e mails and contacts to ensure the Director’s time is leveraged as effectively as possible.
* Organise travel arrangements and accommodation for Directors & all staff on the Preston site, as required.
* Co-ordinates diary with the rest of the Preston senior management team and sensitively priorities time.
* Attends meetings to take confidential minutes and follow up on actions items
* General administrative duties and ad-hoc projects as required
* Line Manager for the two-reception staff (job share)
* Deals with suppliers and other third parties
Knowledge, Skills & Experience Required:
* Excellent organisational skills
* Qualified to a minimum standard grade 5 GCSE (Maths and English are mandatory).
* Proven relationship management at senior level including building good networks.
* Highly discreet and able to manage sensitive, confidential information in the appropriate manner.
* Excellent interpersonal skills including verbal communications skills and the ability to write clear, precise, well organised documents.
* Comfortable and confident at interacting with senior stakeholders and clients
* Advanced Microsoft Word, PowerPoint, Excel and Outlook.
* Ability to support with technology enabled meetings eg digital conference calls.
* Experience of managing a team.
* High attention to detail and proven experience of managing sensitive data
* Conscientious but proactive approach
* Resourcefulness/initiative – passionately finds ways over, around, or through barriers to success. Achieves results despite lack of resources. Goes beyond the call of duty. A results-oriented “doer”.
* Solution orientated and confident style
* Experience of working in a pressured environment and delivering to short deadlines.
