Overview
We are currently looking for a Receptionist/Administrator between 10–12 hours a week who excels in customer service, has strong communication skills and team spirit. Must be able to cover holidays and sickness. Hours range from 8am – 6.30pm. We would prefer a candidate who has GP Practice experience, but will consider transferable skills. Ideally the candidate will have experience of using clinical systems (we are using System One) and be familiar with tasks, filing, coding, recalling patients. The candidate should be able to manage change and contribute to Practice development, with flexibility and willingness to participate in learning events and personal development.
The duties and responsibilities of the Practice administration are included in the job description and may include any or all items stated; duties may be varied from time to time under the direction of the Practice Manager, dependent on workload and staffing levels.
Main duties of the job
Job Summary:
To assist the practice team in the day-to-day running of the surgery in a positive and courteous manner.
Job Responsibilities:
* To have a thorough knowledge and work in accordance with all practice policies and procedures.
* Pulling and filing notes
* Photocopying as requested
* Scanning/ coding of hospital letters and results
* Liaising with members of the practice team and community services as necessary
* Handling completed repeat prescriptions to patients and checking names and addresses
* Be able to cover all reception positions as necessary
* Deal with home visit requests
* Process repeat prescription requests in accordance with practice guidelines
* Any other tasks allocated by Management
Additional duties may include dealing with appointments, calls and patient queries as required by the Practice Manager.

* Telephone Duties
* Making appointments
* Taking requests for prescriptions
* Giving out results
* Ambulance transport bookings
* Home visit requests
* Deal with general enquiries and complaints
* Contacting other providers
Reception Duties
* Register new patients and temporary residents
* Greet and direct patients and visitors
* Making appointments
* Handing out prescriptions and recording in the book
* Ensure outstanding queries are explained and handed over to next shift, as necessary
* Respond to the needs of doctors and nurses during surgery
* Collect payments from patients for non-NHS services
* Deal with general enquiries and complaints
Filing
* Pulling Lloyd George envelopes when requested by doctors

Prescriptions
* Dealing with requests for repeat prescriptions

Person Specification
Experience
* Knowledge and skills: good interpersonal and communication skills; good computer skills
