Job overview

We are looking for an administrator to support the District Nursing team in Oxford.

This is a varied and demanding role that will provide opportunities for developing processes within a friendly team of clinicians and administrators to ensure patient needs are met and that accurate paper and electronic records are maintained.


Main duties of the job

In this varied role, you will have an active involvement in supporting Trust policies for core tasks, health & safety, auditing and maintaining accurate records. There will be opportunities to work directly with clinicians, minute meetings and develop processes.

You will need be able to work calmly and efficiently in a busy environment, motivating and supporting the administrative team and be able to work autonomously.

Detailed job description and main responsibilities

* To assist the service/team in all administration duties relating to the day to day running of the team/service.
* To assist in the provision of high standards of data collection and analysis and ensuring paper and electronic information is updated in a timely manner.
* To provide a polite and efficient reception service to visitors if required.
* Organise own workload and act independently within appropriate guidelines.
* Order, check, maintain and distribute equipment and supplies for the team and other agencies as required (this will include manual handling of stock and equipment and training will be provided).
* To perform general office duties including responding to email and phone enquiries, answering the telephone, taking and recording messages accurately, responding to queries appropriately, following Trust procedures and protocols and organise the maintenance of the filing systems for the service/team.
* To take accurate action notes and minutes as required.

Qualifications

Essential criteria

* Good general level of education (minimum) GCSE English & Maths

Desirable criteria

* Higher Education qualification (i.e. ‘A’ Level/NVQ III standard) or equivalent/previous experience in an Administration Assistant Role

Knowledge and Experience

Essential criteria

* Previous experience in an administrative office role and/or a qualification to NVQ Level II
* Knowledge and Experience of using Office computer programs including Excel, Word, Power Point and Outlook

Desirable criteria

* Previous experience of working in the NHS

Skills

Essential criteria

* Manage and prioritise own workload
* Communicate well with patients, public and colleagues

Desirable criteria

* Previous use of EMIS or similar EPR
