To deliver reprographics and concierge services to meet customer requirements. Provided support with any other administrative tasks that may be required.
This job contributes to organizational success by:
* Ensuring timely and error free booking of meeting rooms, equipment and hospitality.
* Ensuring a timely and error free reprographic support to internal and external customers.
* Ensuring the Admin Services in-house internet page (Knowledge base) is kept up to date.
* Supporting Soft Services leadership with additional administrative tasks as and when required.
Job Requirements:
Reprographics
* Check and produce client reports as directed by your customers ensuring copies are sent to archives and copies distributed to the clients.
* To provide a comprehensive reprographic service to internal customers including but not limited to photocopying, scanning raw data, colour copying/printing, binding, guillotine services and laminating.
* To effectively and efficiently operate the laser printing and photocopying equipment
* Raise purchase orders for any reprographic consumables and any repairs/maintenance to the reprographics equipment.
* Supporting operations with the printing on controlled documents in accordance with the relevant SOP.
* Undertake any other administration associated with reprographics services as required.
* Distribution and reporting of CAFM tickets for soft services team. With escalation and communication to management where required.
* Raise purchase orders and manager invoicing for UK soft services providers, repairs/maintenance and consumables ordering for the wider soft services team.
* Work from the concierge front desk as the main focal point for any visitors to main reception.
* Operate the switchboard in a professional and friendly manner.
* Manage the booking of meeting rooms, equipment and hospitality in line with the customers’ requirements using in house systems.
* Ensuring meeting rooms are clean and tidy before the next occupants. Liaise with the cleaning contractor as necessary.
* Liaise with the restaurant to ensure hospitality requirements are met.
* Book transport (taxis) on behalf of visitors.
* Issue weekly visitor list to site leadership.
* Support restaurant services with any hospitality requirements during bust periods.
* Raise purchase requisitions for consumables and the maintenance/hire costs of any equipment used by Admin Services – such as coffee machines etc.
* Undertake any other administration associated with concierge services as required.
