Job Overview
An exciting opportunity has arisen in the Cardiology department at North Bristol NHS Trust (NBT) to join the administrative team as a full‑time (37.5 hours/week) Band 4 Medical Secretary.
In this role you will provide an exceptional secretarial and administrative service to a number of Consultant Cardiologists and/or their teams and coordinate the administrative support of their clinical activity, including the Rapid Access Chest Pain Clinic.
Responsibilities
To provide an exceptional secretarial and administrative service to Consultant Cardiologists and/or their teams, including primary administrative service to the Rapid Access Chest Pain Clinic. You will be responsible for ensuring a high‑quality secretarial service and coordinating the administrative support of clinical activity.
The role includes monitoring outstanding results, liaising with consultants and clinical teams, audio‑typing busy clinics, managing forward look and cancellation of clinics, diary management, booking patient appointments where necessary, processing documentation, and general administrative and clerical tasks.
You may also be responsible for the general supervision of an Audio Typist or Secretarial Administrator, including directing workload, carrying out annual appraisals and monitoring sickness absence.
You will need to maintain and monitor processes and systems, mindful of national waiting times such as the 18‑week Referral to Treatment target. Working as part of a secretarial team, you will provide support for each other and ensure continuity of service.
Education/Training/Qualifications
* Minimum three GCSE/O'Level qualifications, to include English Language and Mathematics
* Knowledge of medical terminology
Desirable Education/Training/Qualifications
* RSA or equivalent typing qualification or demonstrated extensive experience and skill
Work Experience
* Excellent IT skills with proficiency in word processing, digital dictation, database and spreadsheet packages – working knowledge of Microsoft Word and Outlook, and experience of using Excel
* Working knowledge of patient pathways and understanding of Referral to Treatment
* Must be able to demonstrate working under pressure in a busy team environment, with organisational and prioritisation for more than one clinician
* Experience of having worked in the NHS, or other patient focused environment, and to have worked as part of a multidisciplinary team
Desirable Work Experience
* Minimum three years secretarial experience, which must include audio typing and extensive administrative and clerical experience
* Must have used a computerised patient administration system (eg, Careflow, EDMS, ICE) and a willingness to learn new IT skills and technology
* To be able to plan, coordinate and implement small projects relevant to the job role, such as setting up new processes or streamline/improve existing procedures
Knowledge/Skills/Abilities
* Able to work independently in own role, showing initiative but understanding when to seek appropriate guidance
Desirable Knowledge/Skills/Abilities
* Supervisory experience, including contribution to recruitment, induction of new team members and appraisal
Personal Qualities/Special Circumstances
* Excellent task and time management skills in order to respond to demands, and complete tasks to a deadline
* Very good written skills including good English grammar, in order to be able to proofread typed content
* Very good verbal communication skills, articulate, helpful and confident in dealing with people both face to face and over the telephone, with a professional, courteous and positive approach
* To be able to maintain good working relationships within own team and wider hospital staff groups/departments
* Provide an understanding of the importance of confidentiality and data protection in a hospital environment
* To have a very good time‑keeping and attendance record
