Job Overview
As an Administrator, you must be adaptable, you will provide essential administrative support to the contract team, ensuring that scheduling, customer service, compliance records and reporting are managed efficiently. You will play a key role in coordinating engineers, handling work orders and maintaining excellent communication.
Duties
* Provide comprehensive administrative support for the contract.
* Support the preparation of monthly reports and KPI tracking for contract
* Maintain accurate records, ensuring all documentation is up to date and stored correctly.
* Assist with compiling reports, performance data and compliance documentation.
* Handle incoming and outgoing correspondence, including emails, letters and client queries.
* Support the Lead Administrator and Contract Manager in day to day contract administration.
* Manage incoming calls from the client, tenants and engineers, ensuring queries are logged and responded to efficiently.
* Provide clear and professional communication, escalating issues where necessary.
* Track and update job statuses
* Assist with scheduling planned and reactive maintenance appointments for engineers.
* Allocate jobs based on priority levels, engineer availability and SLA requirements.
* Ensure work orders are processed and followed up until completion.
* Liaise with subcontractors to confirm appointments.
* Maintain accurate records of compliance certificates, safety checks and work completion reports.
* Ensure all contract documentation meets client requirements.
* Support the preparation of monthly reports and KPI tracking for contract performance.
* Assist in processing invoices, purchase orders and financial records for the contract.
* Track and update costs related to job orders, materials and subcontractor services.
Skills
* Experience in an administrative role
* Strong organizational skills with the ability to manage multiple tasks and deadlines
* Proficiency in Microsoft (Excel, Word, Outlook)
* Excellent communication skills, both written and verbal
* High attention to detail and accuracy in all administrative processes
* Proactive and solution focused with a positive attitude
