Role Overview
We are seeking a highly efficient and proactive Office Administrator to join our Head Office team in Theale. This role is essential to the smooth running of our operations and provides support across departments including Service Staff, Management and Head Office. You'll be a confident communicator, resilient under pressure, and committed to fostering a positive working environment.
Key Responsibilities:
General Office Administration
* Provide essential administrative support across departments
* Liaise with supplier and manage office upkeep and repairs
* Order company supplies (stationery, uniforms, etc.)
* Handle incoming and outgoing post
Document & Data Management
* Assist with document management, data entry, and internal communications
* Maintain organised filing systems (physical and digital)
* Log, update, and format weekly timesheets and customer reports
* Write clear and accurate field staff reports
* Analyse report data and identify anomalies
Scheduling & Staff Support
* Assist with planning, scheduling, and updating staff on call rotas
* Coordinate with managers to ensure coverage
* Provide administrative support for meetings, events, and reporting
Fleet & Insurance Administration
* Maintain and update motor insurance records for company vehicles
* Coordinate car hire bookings with Enterprise
* Ensure timely insurance updates and documentation
* Liaise with suppliers and internal teams to ensure compliance with fleet policies
Systems & Software
* Use Microsoft Office 365 Suite, CRM (Salesforce), OneDrive/SharePoint
* Proficient in Outlook, Word, Excel, Teams, Planner
Compliance & Confidentiality
* Maintain confidentiality and data protection standards
* Ensure compliance with operational control standards (quality, governance, data protection)
Skills & Experience
* Minimum of 1 years' relevant experience in an administrative role
* Highly computer literate and confident using Microsoft Office tools
* Strong communication skills and professional phone etiquette
* Ability to work collaboratively and independently using own initiative
* Professional, approachable, and adaptable with a positive attitude
* Strong attention to detail and commitment to confidentiality
* Willingness to learn and grow with evolving team needs
* A naturally curious mind with initiative to question, problem-solve, and improve processes
