Job Purpose
The Administrative Assistant will provide efficient and professional administrative support to ensure the smooth day-to-day operation of Allan’s Nursery. The post holder will be the first point of contact for parents, carers, visitors, and external agencies, maintaining confidentiality and delivering excellent customer service at all times.
Key Responsibilities
Administrative Support
1. Provide general clerical support including filing, photocopying, scanning, and document preparation
2. Maintain accurate pupil records and nursery databases in line with GDPR requirements
3. Support the management team with data entry, reports, and correspondence
4. Process nursery admissions paperwork and maintain waiting lists
Communication & Customer Service
5. Act as the first point of contact for telephone, email, and in-person enquiries
6. Welcome visitors and ensure safeguarding procedures are followed
7. Liaise with parents, carers, Stirling Council departments, and external agencies
Finance & Resources
8. Assist with processing invoices, payments, and petty cash in line with council procedures
9. Support ordering and stock control of office supplies
Compliance & Confidentiality
10. Ensure all records are maintained in accordance with Stirling Council policies
11. Handle sensitive information with discretion and confidentiality
12. Support adherence to safeguarding, health and safety, and data protection regulations
Person Specification
Essential:
13. Previous administrative experience
14. Strong organisational and time management skills
15. Good working knowledge of Microsoft Office (Word, Excel, Outlook)
16. Excellent communication and interpersonal skills
17. Ability to work independently and as part of a team
18. Understanding of confidentiality and data protection
Desirable:
19. Experience working in an education or early years setting
20. Familiarity with Stirling Council systems and procedures
21. Basic financial administration experience
