Main duties of the job

As our newIT Systems Lead, youll be joining a forward-thinking, supportive practicewhere technology is seen as a key driver of improvement. You will be responsible for the day-to-day functionality ofthe organisations IT systems, undertaking a wide range of IT systemsmanagement duties in support of the multidisciplinary team.

Your duties can include but are not limited to, leading therunning of patient searches and requested reporting data, administration ofdatabases, user accounts, housekeeping, upgrades and general queries.

In addition, the you will be required to provide support tothe multidisciplinary team, maintain the organisations IT infrastructure,provide support to the team, ensure all issues are resolved or escalated in atimely manner and provide local training as necessary whilst ensuring allissues are resolved or escalated in a timely manner.

We will provide a full induction programme and managementwill support you throughout the process.

Learning and development

The effective use of training and development is fundamentalin ensuring that all staff are equipped with the appropriate skills, knowledge,attitude and competences to perform their role. All staff will be required topartake in and complete mandatory training as directed. It is an expectationfor this post holder to assess their own learning needs and undertake learningas appropriate.

The post holder will undertake mentorship for team membersand disseminate learning and information gained to other team members to sharegood practice and inform others about current and future developments (e.g.,courses and conferences).

The post holder will provide an educational role topatients, carers, families and colleagues in an environment that facilitateslearning.

Collaborative working

All staff are to recognise the significance of collaborativeworking and understand their own role and scope and identify how this maydevelop over time. Staff are to prioritise their own workload and ensureeffective time-management strategies are embedded within the culture of theteam.

Teamwork is essential in multidisciplinary environments andthe post holder is to work as an effective and responsible team member,supporting others and exploring the mechanisms to develop new ways of workingand work effectively with others to clearly define values, direction andpolicies impacting upon care delivery

Effective communication is essential, and all staff mustensure they communicate in a manner which enables the sharing of information inan appropriate manner.

All staff should delegate clearly and appropriately,adopting the principles of safe practice and assessment of competence.

Plans and outcomes by which to measure success should beagreed.

Managing information

All staff should use technology and appropriate software asan aid to management in the planning, implementation and monitoring of care andpresenting and communicating information.

Data should be reviewed and processed using accurateSNOMED/read codes to ensure easy and accurate information retrieval formonitoring and audit processes.

Staff will be given detailed information during theinduction process regarding policy and procedure.

Security

The security of the organisation is the responsibility ofall personnel. The post holder must ensure they always remain vigilant andreport any suspicious activity immediately to their line manager.

Professional conduct

All staff are required to dress appropriately for theirrole.

Leave

All personnel are entitled to take leave. Line managers areto ensure all their staff are afforded the opportunity to take a minimum of 25days leave each year and are encouraged to take all their leaveentitlement.

Public holidays will be calculated on a pro-rated basisdependent on the number of hours worked.

The following are the core responsibilities of the ITSystems Lead. There may be, on occasion, a requirement to carry out othertasks; this will be dependent upon factors such as workload and staffinglevels:

a.The provision of a local supportservice to all staff, resolving issues with IT systems and equipment

b.Effective maintenance of allorganisation IT infrastructure, including hardware, office systems, email,telephone, internet and clinical systems, minimising downtime

c.The provision of a localsupport service to all staff, resolving issues with IT systems and equipment

d.Ensure back-up and disasterrecovery procedures are in place and effective

e.Perform regular system checks tomaximise performance

f.Provide training toall staff as required, ensuring the effective use of all systems

g.Ensure staff adhere to practicepolicies regarding IT security and ensuring conformance to informationgovernance

h.Deliver the IT related elements ofthe staff induction programme

i.Build, generate andcarry out searches as required by the organisation team to enable reports to beproduced and action plans devised

j.Inputting andextracting data as required to support practice reports

k.Support the team in theeffective use of searches, audits and recalls providing advice whereappropriate

l.Support the team inthe use of the clinical systems

m.Act as a liaison between theorganisation and external agencies, for the timely management of all faults

n.Ensure that the organisationwebsite information is correct and that the details are in accordance withthe GPwebsitebenchmarking and improvement tool.

o.Configure searches and interpretdata for audit purposes

p.Send out mail merges for a numberof campaigns, i.e., flu

a.Ensure all staff have theappropriate smart card access to the clinical system

b.Support the Practice Manager withall elements of the online patient access software

c.Ensure the Practice Manageris updated regarding the release of patches and upgrades

d.The configuration (activation andde-activation) of all staff email accounts

e.The writing of IT related policiesand protocols

f.Supporting allclinical staff with general administrative tasks as requested

In addition to the primary key responsibilities, the ITSystems Lead may be requested to:

a.Partake in audit as directed bythe audit lead

b.Liaise with the ICB and otherexternal stakeholders in relation to IT matters

c. Contribute to the development of the strategic objectives of the organisation, providing specialist IT knowledge


Person Specification


Experience

* MS Server and Desktop operating systems, Windows, SAN Technology, anti-virus products, network infrastructure appliances, firewalls, accounting and payroll software packages
* Experience of establishing effective office administrative systems
* Experience of working in a healthcare setting
