Detailed job description and main responsibilities Main Duties and Responsibilities To provide high quality administrative services to the Director and members of the NWNODN team Co-ordinate NWNODN meeting date annual schedule Prepare agenda and meeting documentation to support NWNODN meetings Attend relevant meetings, documenting minutes and actions. Co-ordinate follow up o n actions Support processes to enable smooth running of the NWNODN through maintenance and collating of information for the NWNODN senior team on a regular basis Maintain the information available on the NWNODN website on a regular basis Assist in the organisation and co-ordination of NWNODN events Support national and international meeting/conference planning, including travel and accommodation. Administrative support to organisation of the Foundation in Neonates (FIN) programme Assist with educational programme coordination alongside the Education Team including event coordination Communication Communicate professionally and effectively with a range of stakeholders including network members, the general public and all internal and external agencies both verbally and non-verbally in a timely manner Liaise with clinical and non-clinical staff to resolve any issues that may arise, to the mutual benefit of all concerned. Support Clinicians in identifying how data can be captured and managed securely in line with the Information Governance and Data Quality Policies Maintain the NWNODN website, ensuring information remains current Planning and Organising Skills Undertake a key role in ensuring the delivery of a high quality administration support Support the day to day organisation of the NWNODN Team by managing diaries, co-ordinating meetings, ensuring appropriate documentation available for meetings/lectures, preparation of documents/presentations, attending meetings to take minutes and typing of agendas/minutes. Support the co-ordination of national and international meetings/conferences including travel arrangements, accommodation etc. When required, assist in the co-ordination of educational programmes for staff, whether it be medical or administrative staff, in conjunction with clinical and management teams. Adapt a flexible attitude to meet the needs of the Network, taking into consideration each regions unique perspective. Responsibility for providing accurate, up to date, non-clinical advice relating to queries into the NWNODN. Physical Skills Required to sit in a restricted position for prolonged periods whilst inputting data and typing. Required to have prolonged use of a VDU screen. The post holder will require advanced keyboard skills.
