To be responsible for optimising the PeopleXD information system to support efficient HR operations and HR data management across the organisation. To provide effective and efficient system support and expertise to internal stakeholders as required for the effective delivery of integrated HR information management systems. To be responsible for the continuous development of the PeopleXD information management system and other related systems within the HR Service. PRINCIPAL DUTIES AND RESPONSIBILITIES To be the lead officer for the maintenance and development of the PeopleXD information system across the organisation. For example, people management, absence management and training and development and supporting the Employee Payments function. Champion the use of PeopleXD across the organisation. Encouraging all employees and services to adopt its use through timely and targeted interventions in service areas, to include delivery of training to new and existing service users as required. Lead on project and development work on the PeopleXD system to include roll out of modifications, improvements, and new modules for system users, supported Digital Services. To be responsible for the configuration, design and co-ordinating system testing and ensure timely release of information relating to system upgrades, change management, and communicating details to end users. To be responsible for PeopleXD systems administration and maintenance and provide user support. Maximise the utilisation of PeopleXD to automate standard processes. Serve as the primary point of contact within organisation for PeopleXD related queries, technical faults, and issues, including liaison with the Supplier Support Team for issue resolution. Conduct data validation and audits to identify discrepancies and inconsistencies and work with the relevant teams to rectify them as necessary. Support the HR Team by managing restructuring exercises within PeopleXD. Review, develop, document, and maintain PeopleXD standard operating procedures and employee user guides in conjunction with the key stakeholders ensuring they are accurate and up to date. (part of this is covered in Point 2) To be responsible for the creation and development of regular and ad-hoc reports from PeopleXD, Tableau and other HR systems as required to support with the submission of statutory and annual returns, Freedom of Information requests, analytics and management reporting, within strict timelines. Collaborate with HR team members to design and implement custom HR reports and dashboards. Maintain a register of verified reports and provide support and training to HR team members on how to run reports. To be the main point of contact to manage the contract with the suppliers and Support Team. Liaise with Employee Payments, Digital Services and Transformation to identify opportunities to increase and optimise processes, identify, and implement continuous improvement of PeopleXD and related systems and software. Manage meetings between the key stakeholders, taking minutes and ensuring action is taken as appropriate. Actively seek opportunities to learn new skills and develop expertise that would contribute to the effective delivery of the role. PERSON SPECIFICATION The person specification provides information on the qualifications, experience, knowledge, and skills required to carry out the duties of the post. QUALIFICATIONS ESSENTIAL An HND or equivalent Level 5 qualification in a relevant subjecte.g., HR, Business Studies, Analytics OR in the absence of a Level 5 qualification, have a minimum of 3 years experience as detailed in the Essential Criteria - Experience section. DESIRABLE A spreadsheet qualification EXPERIENCE ESSENTIAL Clearly demonstrate at least 1* years work experience and competence in all the following areas: Using Management Information Systems Interpreting data results and clearly presenting analysis, verbally and in writing using analytical tools, such as Microsoft Excel, Power BI, Tableau Creating reports for management information purposes and to support decision making Auditing and maintaining data integrity Successfully managing and delivering a variety of activities to meet required deadlines *Applicants who do not hold a level 5 qualification must have at least three years experience in each of the above. DESIRABLE Assisting with the hands-on management and maintenance of a HR database and software system within an HR function serving over 50 employees Managing a project relevant to computerised information system(s) Training and supporting users of a computerised system Experience of CORE HR KEY SKILLS, KNOWLEDGE & ABILITIES Excellent attention to detail and data accuracy. Inquisitive and pro-active with excellent analytical and problem-solving skills. Effective communication skills. Good organisational skills and ability to use own initiative. Knowledge of HR processes, legislation, and regulations. Ability to work collaboratively in a team environment. Proficient in MS Word, Excel, and Outlook Excellent spreadsheet skills with the ability to use formulas, pivot tables and produce reports.
