We are seeking a motivated and organised Housing Administrator to join our team. The ideal candidate will play a key role in maintaining and managing our housing operations, ensuring the smooth running of daily administrative tasks, and delivering exceptional service to our residents.

Job Summary:

As a Housing Administrator, you will provide essential administrative support to the Housing and Operations teams. Your role will involve managing housing records, liaising with residents, assisting with tenancy paperwork, and ensuring that our accommodation meets the required standards by auditing and monitoring our systems and documentation. You will be an integral part of our commitment to delivering person-centered services to our residents.

Key Responsibilities:

1. Administrative Support:

* Maintain accurate housing records for all residents, ensuring that information is updated regularly and in compliance with company policies.
* Assist in the preparation, processing, and management of tenancy agreements, renewals, and move-in/move-out documentation.
* Handle phone and e-mail enquiries from residents, family members, and external stakeholders in a professional and timely manner.
* Prepare and send correspondence to residents, including tenancy information, rent statements, and other essential notices.

2. Housing Management:

* Support the Housing Team in co-ordinating resident intake, assessments, and moving processes.
* Ensure accommodation is maintained to a high standard, liaising with contractors and internal teams for maintenance requests and inspections.
* Monitor and track rent payments, including following-up on arrears and providing assistance with payment plans where necessary.
* Maintain inventory records of furniture, equipment, and supplies within accommodation units.
* Submitting Housing Benefit claims on behalf of tenants, contacting local authorities re. suspensions or cancellations.
* Processing assessments on to the system and making calls to the clients and the professionals associated with the individual e.g. social workers, financial appointees etc.
* Communicating with local authorities around council tax charges.

3. Compliance & Reporting:

* Ensure that all housing activities comply with relevant laws, regulations, and company policies, including Health & Safety and safeguarding requirements.
* Assist in preparing reports on housing occupancy, tenancy status, and other operational metrics.
* Support audits, inspections, and assessments, ensuring all records and procedures are in place and up-to-date.

4. Resident Liaison & Support:

* Provide general assistance to residents as needed, including helping with understanding their tenancy rights and responsibilities.
* Work collaboratively with support staff to ensure that the needs of residents are met and that they are provided with the appropriate resources.
* Respond to resident queries and concerns, escalating any issues to the Housing Support Officer as required.
* Carry out telephone welfare checks to support residents, as directed by the Head of Housing.
* Undertake Housing Needs Assessments to help identify and address residents' support needs.

5. Team Collaboration:

* Collaborate with other departments, participate in team meetings and contribute ideas for improving housing services and operations.

Key Skills & Qualifications:

Experience

* Previous experience in a housing administration, property management, or similar administrative role is preferred.
* Experience in supported living or social care settings would be an advantage.

Skills & Competencies

* Strong organisational and multi-tasking skills with the ability to prioritise tasks efficiently.
* Excellent communication skills, both verbal and written.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
* Ability to handle sensitive and confidential information with discretion.
* Strong attention to detail and commitment to maintaining high standards.

Knowledge

* A good understanding of housing laws, tenancy agreements, and compliance regulations is a plus.
* Familiarity with supported living environments and the challenges faced by individuals with additional support needs.

Personal Attributes:

* Compassionate and patient, with a genuine interest in supporting vulnerable individuals.
* Ability to work independently and as part of a team.
* Flexible and adaptable to changing situations and priorities.

Education & Qualifications:

* A relevant qualification in housing, property management, or administration is desirable but not essential.
* A background in social care or health and safety would be advantageous.

Pay: From £24,500.00 per year
