About the Role
An established multiacademy trust in West London is seeking a highly organised and proactive Governance Clerk to provide vital administrative and governance support across its Board, Members and Local Governing Bodies.
This role is ideal for someone who enjoys structured work, thrives on accuracy, and can confidently support senior stakeholders. Working hours are termtime only and include some evening meetings.
Key Responsibilities
Governance Administration
1. Prepare and distribute agendas, papers and reports in line with statutory timelines.
2. Attend daytime and evening meetings to record accurate minutes, actions and decisions.
3. Maintain a secure archive of governance documentation.
4. Support committees with administrative and procedural compliance.
Membership Administration
5. Keep uptodate records for Members, Directors and Governors, including attendance, terms of office and statutory checks.
6. Manage Register of Interests and ensure compliance with governance requirements.
7. Monitor lapsing procedures and advise where attendance issues arise.
Onboarding & Offboarding
8. Coordinate processes for new and outgoing governance volunteers.
9. Prepare and issue welcome packs, induction documentation and required declarations.
10. Notify relevant bodies of changes to governance roles as required.
General Administration
11. Handle governance correspondence and ensure appropriate actions are taken.
12. Support arrangements for governance visits and related documentation.
13. Ensure confidentiality and data protection standards are met at all times.
Person Specification
Essential
14. GCSE English & Maths (or equivalent)
15. A Levels
16. Ability to type 50 wpm
17. Strong administrative and organisational skills
18. Minutetaking experience
19. Confident MS Office user
20. Excellent written and verbal communication
21. Discretion and commitment to confidentiality
22. Ability to work independently and as part of a team
23. Willingness to attend evening meetings
24. High level of accuracy and attention to detail
Desirable
25. Degree
26. Clerking, legal, secretarial or company secretary qualification
27. Experience supporting governance in schools or academies
28. Knowledge of governance regulations
Hours & Pay
29. 28-35 hours per week, termtime only (40 weeks)
30. Salary on Grade 6-7, depending on experience
31. Paid across 12 months
32. Additional hours may occasionally be available
Grade 6 (FTE): £27,-£28,
Prorata: £24,-£25,
Grade 7 (FTE): £29,-£30,
Prorata: £27,-£27,
