Administration Support Officer - Children's Services

An exciting opportunity has arisen to join Powys Teaching Health Board as an Administration Support Officer within our Children's Services team.

This role will primarily support the Children's Neurodevelopmental (ND) Service, which provides assessment and diagnostic services for children and young people up to 18 years of age with potential neurodevelopmental conditions. All referrals accepted into the service are assessed for Autistic Spectrum Disorder (ASD) and Attention Deficit Hyperactivity Disorder (ADHD).

In addition to supporting the ND Service, you will also provide administrative support to wider Children's Services, as required.


Main duties of the job

As part of this role, you will:

* Deliver a comprehensive clerical and administrative service, including managing diaries and service email account, organising meetings, preparing papers, and taking accurate minutes.
* Communicate effectively and sensitively with colleagues, families, and external partners, ensuring confidentiality at all times.
* Maintain efficient filing systems and track correspondence to support service delivery.
* Assist with ordering supplies and processing invoices using Oracle.
* Accurately input, update and retrieve information using Health Board systems such as WCCIS (Welsh Community Care Information System) and WPAS (Welsh Patient Administration System) to support service delivery and maintain patient records.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

Person Specification


Qualifications and Knowledge

* NVQ 3 or equivalent qualification or relevant experience
* Experience of using computer-based management information systems
* Experience and an ability to prepare detailed reports
* Experience of using computer software programmes
* Experience of working in an environment where both tact and diplomacy has had to be used
* Knowledge of the structure and operation of the Health Board


Experience

* Advanced Keyboard Skills equivalent to RSA 2/3
* Excellent communicator at all levels within and outside an organisation including an ability to communicate effectively with patients and members of the public


Skills and Attributes

* Demonstrate PTHB Values
* Excellent verbal and written communication skills
* Identify, prioritise and work to short deadlines
* Work without supervision to achieve the objectives of the post
* Design and layout reports, forms and other documents to a high quality and appropriate format
* Take accurate minutes
* Collate and undertake a basic analysis of data
* Prepare information for meetings and seminars
* Communicate clearly and succinctly, both orally and written
* Some ability to speak, read and/or write Welsh, or an eagerness to learn.

* Able to work hours flexibly due to service needs
* An understanding of the Data Protection Act particularly in relation to confidentiality

This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions.
