Senior Business Administrator - Generative Biology Institute

Position Summary
We are seeking an experienced and highly capable Senior Business Administrator to provide seamless administrative and operational support to the COO of GBI. In addition to supporting the COO, you will play a key role in assisting a growing team as the institute expands.
Key Responsibilities
 * Diary and inbox management.
 * Travel arrangements (local, national & international), including accommodation, travel documentation and visa requirements.
 * Act as key contact and gatekeeper for internal and external calls or meetings.
 * Book breakfast, lunch and dinner meetings as necessary.
 * Expense management – provide monthly reports and submit for approval.
 * Handle emails and other forms of communication.
 * Maintain physical and electronic files.
 * Manage confidential information with utmost discretion and integrity.
 * Support all meetings (in‑person and virtual), including booking rooms, ensuring equipment availability, preparing agendas, reports, presentation packs, and refreshments.
 * Coordinate with senior executives, board members, management and support staff to arrange and distribute meeting invites, minutes and agendas.
 * Attend meetings, take detailed minutes, distribute minutes and follow up on agenda items.
 * Represent the executive when necessary, providing accurate summaries, action points and outputs.
Requirements & Qualifications
 * Significant EA/Senior Administrative experience supporting C‑Suite or senior executives in a fast‑paced, changing environment.
 * Outstanding organisational ability with natural multitasking and prioritisation skills.
 * Capable of preparing slide decks, meeting agendas, and minutes.
 * Experience handling confidential and sensitive information.
 * Strong working knowledge of Microsoft 365, business messaging and project management tools.
 * Experience collating data for presentations and reports.
 * Strong communication and interpersonal skills with experience engaging senior stakeholders and external partners.
 * Right to work permanently in the UK and willingness to travel as required.
 * Live in or be within easy commuting distance of Oxford.

Terms of Appointment
 * This position is primarily office‑based, 5 days per week – ensure you can commit to this before applying.
 * During peak periods, longer hours may be required and work across multiple time zones may be necessary due to the global nature of the programme.
