Are you an experienced Administrator or Scheduler who thrives on keeping projects on track, engineers where they need to be, and paperwork perfectly in order?
We’re working with a growing, compliance-focused organisation in Harlow that is expanding its Projects Department. They’re looking for someone who enjoys coordination, structure, and being the person that keeps everything running smoothly behind the scenes.
If you love managing schedules, liaising with clients, preparing documentation, and ensuring nothing slips through the cracks - this role is built for you.
What You’ll Be Responsible For
Coordinating and supporting Project Managers across multiple live projects
Preparing and organising detailed Job Packs for engineers
Scheduling appointments with clients and residents (phone & email)
Tracking project progress using Excel and internal systems
Managing documentation including O&M manuals, billing & completion packs
Booking labour and ordering equipment within project budgets
Acting as a central communication hub between Project Managers, engineers, subcontractors & clients
Chasing subcontractor paperwork and reconciling completed works
Supporting compliance documentation for auditsThis is a role for someone who enjoys structure, deadlines, and the satisfaction of keeping projects moving.
What We’re Looking For:
Proven experience in Administration or Scheduling (essential)
Strong organisational skills with exceptional attention to detail
Confident communicator — able to liaise professionally at all levels
Comfortable managing multiple moving parts in a busy environment
Strong Excel skills and confidence using CRM/internal systems
Naturally proactive — someone who follows up, checks details, and takes ownership
Able to work independently while contributing to a collaborative teamWhat’s On Offer:
