This is an excellent opportunity for an experienced administrator or coordinator to work closely with senior stakeholders, including the Project Director and PMO Lead, within a fast-paced and high-profile environment. Role Overview As Project Coordinator, you will provide essential administrative and coordination support across the project portfolio. You will play a key role in ensuring smooth communication, maintaining accurate documentation, and supporting project governance and reporting activities. Key Responsibilities Provide direct administrative support to the Project Director, PMO Lead, and wider Portfolio team Monitor and manage incoming correspondence, emails, and enquiries, ensuring timely responses Maintain accurate project records in line with business and project management systems Track documents, reports, action logs, and follow up with stakeholders as required Prepare and update project documentation using standard templates and guidance Support reporting by populating weekly and monthly project statistics Coordinate meetings, workshops, and events, including scheduling, logistics, and minute-taking Manage resource planners, onboarding/offboarding trackers, and distribution lists Coordinate site visits and arrange access for external visitors Provide occasional support to document control and administrative functions Organise portfolio social and team events Skills & Experience Essential: Strong administrative or project coordination experience Excellent organisational skills with strong attention to detail Confident communicator, able to work with senior stakeholders Strong Microsoft Office skills (Word, Excel, Outlook, PowerPoint) Ability to take accurate meeting minutes and maintain action logs Proactive, able to work independently and use initiative SC Clearance or willingness to undergo Security Clearance Desirable: Experience supporting defence, MOD, or regulated programmes Experience with SharePoint, Power BI, Visio, Viewpoint, or CEMAR Previous experience as a Personal Assistant, Executive Assistant, or Project Administrator Experience working in project or PMO environments Why Apply?
