Our client has a full-time vacancy for a Legal Secretary to provide direct support to the Personal Injury Fee Earner. You will be expected to use a high degree of self-management and initiative. The hours are 9am to 5:30 pm Monday to Thursday and 9am to 5:15 pm on Friday’s and is office based.

Responsibilities

* To prepare correspondence and documents through audio-typing and word processing.

* To administer filing which will include daily filing and the opening, closing, storage and retrieval of client files in accordance with the detailed procedures contained in the Office Manual.

* To prepare mail and enclosures for despatch.

* To arrange for all copying to be done, in person if the office junior is not available to undertake the task.

* To make appointments, arrange meetings and to maintain an up-to-date diary for his/her principal.

* To prepare the Board Room for meetings as necessary and for the tidying and clearance of the room at the end of the meeting.

* To provide refreshments when asked to do so.

* To provide support to other secretaries as required.

* To provide guidance to junior and temporary secretaries when required to do so.

* To attend clients both in person and on the telephone and to provide such support in a professional and friendly manner in keeping with the firm’s standards for client care.

* To ensure clients are dealt with politely, courteously and promptly

* To undertake any specific training when required to do so and overall to have a responsibility towards self-development.

* To ensure the confidentiality of all the firm’s and clients’ documentation and information.

* To answer the telephone as it rings alongside the firm’s other secretaries.

* To assist in promoting the firm in dealing with clients and other professionals

* Portal work – Moj/MID/MB (PI work only)

* To assist in dealing with online Legal Aid Agency submissions for the Family Team

Requirements

Ideally trained in secretarial practice.

High word-processing and audio-typing skills.

Preferably previous experience as a legal secretary or experience of working in an alternative
