As our newly appointed Senior Commercial Property Assistant you will provide senior legal assistance as part of the Commercial Property Department, striving to deliver the highest level of customer service to clients.
Role Responsibilities
* Communicating with clients over the telephone, by email and in face-to-face meetings providing the highest level of customer service to clients.
* Communicating with and providing updates to other solicitors, estate agents and other professional organisations.
* Carrying out solicitor, client and third-party due diligence.
* Requesting documentation fundamental to each transaction.
* Ensuring documents are returned by client’s and work providers, chasing them if required and progressing Transactions.
* Logging correspondence to the correct files / matters.
* Entering data into the correct fields in the case management system from correspondence received.
* Logging and completing tasks on the case management system.
* Performing general administration tasks on conveyancing and commercial property matters.
* Managing priorities effectively whilst demonstrating flexibility, often balancing conflicting demands.
* Updating all panel members / stakeholders within the business and within the referral businesses with whom we deal. Ensuring portals are kept up to date.
* Assisting with the file opening process in respect of commercial property matters.
* Drafting conveyancing and commercial property sale contracts and re-mortgage documentation as required.
* Checking title on sale matters.
* Preparing replies to enquiries on sale matters.
* Dealing with Lenders on both sale and purchase matters, such as requesting redemption statements or requesting mortgage funds.
* Requesting and reviewing source of funds information.
* Drafting completion statements and bills.
* Preparation of files for completion to include final searches and liaison with Clients as to receipt of balance funds.
* Obtaining authority to exchange and complete.
* Carrying out such other duties as are delegated from time to time by the Associate Director.
* Meeting all key SLAs and KPIs within the department/referrers’ requirements.
* To be a role model for those around you in both file management, actions, and behaviour.
* To always ensure individual compliance with all PMPL policies and procedures.
* To attend and contribute to team meetings.
* To carry out such other functions or tasks as required from time to time by the Associate Director.
* The role will be based in the Commercial Property team, within the wider Conveyancing Department. There may however be a requirement to work in other areas of the business as the need arises.
What we need from you
* Minimum 12 months experience (but all levels considered including more senior) of working in a conveyancing and commercial property role.
* Minimum 6 months experience (but all levels considered including more senior) of working in a client care/customer service environment.
* Ability to work to deadlines.
* Real attention to detail.
* Ability to prioritise workloads.
* Willingness to adhere to and surpass set targets.
* Ability to work on own initiative and as part of a team.
* Excellent telephone manner, Client care and enthusiasm.
* Must be able to communicate well both orally and in writing.
* Understanding of e-mail systems, portals and other IT as appropriate.
* Good standard of spoken and written English required.
* Competent use of MS Office required.
* Use of Case Management System.
