Well Life Clinic Cobham opened its doors on 1st May 2025 and has quickly built a reputation for excellence in patient care and service. We're now seeking a dedicated, long-term team member someone local to Cobham and surrounding areas who understands and is part of the community to join us with 10+years experience as a Front of House / Treatment Coordinator. You'll bring professionalism, warmth, and efficiency to every interaction, ensuring each patient experience is personal, seamless, and truly five-star.

Your Role
As the first point of contact for patients, you'll set the tone for their entire experience. From greeting patients with genuine warmth to coordinating treatments and managing bookings, you'll play a vital role in supporting both our clinical and administrative teams.
Key Responsibilities
1. Patient Experience & Reception Excellence
* Welcome every patient with professionalism, empathy, and a reassuring smile.
* Manage patient check-ins via our system (SEMBLE – training provided).
* Process payments, update records, and ensure all contact and communication preferences are captured accurately.
* Support patients with accessibility needs to ensure an inclusive and comfortable visit.
* Handle patient queries confidently, escalating where needed to the Clinic Manager ensuring resolution and satisfaction.
2. Front of House
* Maintain an immaculate and calming reception environment throughout the day.
* Monitor and order stock for the reception area as required.
* Ensure all check-lists are completed each morning and evening when the clinic is opened/closed.
* Collaborate closely with clinicians and the Clinic Manager to ensure smooth daily operations.
3. Appointments, Referrals & Payments
* Manage bookings for consultations, diagnostics, and third-party referrals.
* Process payments securely and provide clear after-visit information to each patient.
4. Data Privacy & Security
* Uphold the highest standards of patient confidentiality and GDPR compliance.
* Manage visitor sign-ins and security protocols with professionalism.
5. Systems & Technology
* Use digital tools and platforms to manage appointments, payments, and records.
* Liaise with IT support for any system updates or troubleshooting.
6. Health & Safety
* Ensure all patient-facing areas remain tidy, safe, and hazard-free.
* Report any maintenance or safety issues promptly to management.
What We Are Looking For
* A smart, friendly, confident communicator with a genuine passion for delivering outstanding service. Must be able to make phone calls and respond/answer emails as needed.
* Previous experience in a front-of-house, reception, or customer-facing role is a must. Healthcare experience desirable but not essential.
* A proactive, positive attitude ready to go the extra mile for patients and colleagues alike. The ability to work alone or within the team is imperative to your success.
* Highly organised with excellent attention to detail with the ability to find solutions to challenges as they arise.
* Strong IT literacy - confident using Microsoft Office and online booking systems.
