We are looking for an organised and detail-focused administrator to join the Pathology Administration Team at Derriford Hospital, supporting a range of essential diagnostic and screening services.

In this role, you will provide administrative support to pathology screening programmes and wider departmental activities, helping to ensure patient information is processed accurately and efficiently. You will be responsible for maintaining records, supporting the coordination of administrative workflows, and responding to routine enquiries from staff and service users.

Working as part of a busy team, you will use your organisational skills and attention to detail to prioritise tasks, resolve routine issues, and contribute to the smooth running of the service. You will also play a key role in maintaining data quality and supporting the delivery of a high-quality, patient-focused administrative service.

Preference will be given to internal Trust staff, as well as 'Priority' and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.

Main duties of the job

* Provide administrative support to pathology screening programmes, ensuring patient information is accurately recorded and maintained
* Input, update and validate data on Trust systems in line with established procedures
* Support the coordination and prioritisation of administrative workflows to meet service requirements
* Process documentation, correspondence and routine enquiries in a timely manner
* Identify and resolve routine administrative issues, escalating more complex matters as required
* Assist in the preparation of reports, worklists and other routine service information
* Contribute to data quality checks and support routine audit and monitoring activities
* Provide administrative support across the Pathology Directorate as required
* Work collaboratively with colleagues to ensure continuity of service and effective team working

Job responsibilities

* Provide administrative and clerical support across the Pathology Directorate as required.
* Sort, prioritise and distribute incoming correspondence (electronic and paper).
* Maintain accurate and up-to-date filing systems and electronic records
* Prepare and distribute routine correspondence, documents and reports.
* Respond to telephone and email enquiries, taking messages and redirecting appropriately.
* Provide administrative support in the absence of other team members.
* Provide administrative support to wider pathology functions, including workforce or quality-related processes, as required.


Person Specification


Qualifications

* oBusiness and Administration NVQ 3 or equivalent demonstrable experience.
* oGood general education with GCSE in English & Maths to grade C or above or equivalent qualifications to this level.


Knowledge and Experience

* oDemonstrable experience in an administrative role
* oGood IT skills including Microsoft Office
* oDemonstrable experience of accurate data entry and record keeping
* oUnderstanding of confidentiality and data protection
* oDemonstrable experience in an NHS or healthcare setting
* oKnowledge of pathology or clinical systems
* oDemonstrable experience of handling clinical correspondence
