Overview PepsiCo is looking for R&D EMEA Life Sciences Administrator to join in Leicester on a 2 years Fixed Term Contract. Job Purpose Support the EMEA Life Sciences team with key projects, including managing contracts, documentation, payments, and monitoring the performance of vendors and external organisations. This role ensures the smooth operation of vendor management and administrative tasks, enabling the team to focus on their core priorities. Responsibilities Initiate contact with vendors and external experts, collect and review required documentation, set-up vendors in internal system, and maintain accurate records in the database for verification and sign-off. Support the preparation, routing, and execution of legal agreements (e.g., university collaborations, data sharing agreements, statements of work, consultancy agreements, external speakers, congress organisations, etc.), ensuring compliance with internal protocols. Monitor vendors' timelines and proactively follow up to ensure compliance with agreed deadlines; collaborate with cross-functional teams to gather necessary information and approvals. Act as the subject matter expert for EMEA vendor systems and documentation. Provide data, insights, analysis, and background materials to support business decisions and requests. Identify and troubleshoot system or process issues, facilitating resolution and driving continuous improvement. Raise purchase orders and process vendor payments in line with internal procurement and finance policies, ensuring accuracy and timeliness. Coordinate the transport of samples and banners across regions for meetings, conferences, and sampling activities, including completion of all required documentation. Team budget tracking in collaboration with other team members. Assist in planning and organizing EMEA Life Sciences team meetings, including agenda setting, logistics, and post-meeting follow-up. Day-to-day administrative assistance to EMEA Life Science Team. Qualifications Knowledge of data handling using spreadsheets and database tools. Knowledge and experience of managing and checking data. Observant, accurate and consistent. Great communication skills both written and verbal for communicating with suppliers. Experience in managing documentation for legal agreements and contracts is ideal. Adaptable and capable of working with people in multiple locations, with a proactive and self-motivated attitude.
