The Team Assistant - Reception, provides high-quality administrative support across the London Head Office while serving as the primary point of contact for internal and external stakeholders. This role ensures an outstanding front-of-house experience and supports smooth day-to-day operations in a dynamic, fast-paced corporate environment, representing the ELEMIS brand with professionalism and warmth.
What Will You Do?
* Act as the first point of contact for all visitors, clients, and delivery personnel.
* Welcome guests, manage visitor check-in/out processes, and ensure a hospitable and professional reception area.
* Answer, screen, and forward incoming phone calls; manage general reception inboxes.
* Coordinate mail and courier services, ensuring timely distribution and dispatch.
* Provide ad-hic administrative assistance to the executive and office teams, including scheduling meetings and booking meeting rooms.
* Maintain office supplies and equipment, including placing orders with vendors and managing inventories.
* Prepararation and execution of internal communications relating to the office.
* Support the Facilities Manager with Health & Safety checks and compliance
* Support smooth daily office operations, including maintaining communal spaces and ensuring compliance with office policies.
* Liaise with facilities management and external suppliers for building services, maintenance, and security.
* Assist with ad-hoc projects and corporate initiatives to improve workplace experience and efficiency.

The Perfect Candidate:
* Proven experience in reception, administrative, or team support roles, ideally in a corporate or head office setting.
* Excellent verbal and written communication skills.
* Strong organisational skills with the ability to prioritise multiple tasks and meet deadlines.
* Proficiency with Microsoft Office suite (Word, Excel, Outlook, Teams).
* Professional demeanour, with a customer-centric approach and strong interpersonal skills.
* Professional presentation and attitude in person, by phone, and via email.
* Strong problem-solving skills and attention to detail.
* Ability to work collaboratively across teams and independently where required.
